Job Summary:

This position is housed in the School of Medicine’s Office of Student Life (OSL). OSL is responsible for a large array of functions that support and enhance the learning of MD students enrolled in the University of Colorado’s School of Medicine (CUSOM). This temporary position will assist in administrative tasks that support the newly launched longitudinally integrated curriculum by fostering MD students' evolution into competent physicians by enhancing their understanding of physician-world interactions and facilitating their overall development. This role will provide comprehensive support in areas such as event planning, records management, program management, and operations management. This is a one-year contract position intended to assist with ensuring a smooth transition and continuation of service to our students until the reform curriculum is fully implemented.

This position will be a term-limited (1-year) position.

Key Responsibilities:

  • Provide excellent customer service and act as a trusted resource for all faculty, students, staff and visitors at the Office of Student Life.
  • Build strong relationships in Undergraduate Medical Education with staff, peers, faculty and leadership to support the success of the office.
  • Track, assist and coordinate students throughout the Medical Student Performance Evaluation process. Coordinate internally and externally to maintain, answer and resolve questions on student records. Adhere to FERPA guidelines and policies regarding student records.
  • Prepare and maintain records for courses, electives, and student policies. Assist MD students with course scheduling and registration. Provide assistance to students who have difficulty with the scheduling process for varying reasons.
  • Manage course openings and availability for student registration, including communicating effectively with the course directors and staff throughout the academic year.
  • Oversee and manage the student tutoring processing including recruiting, on-boarding and training of student tutors. Ensure payment is processed for student tutors. Resolve inquires and ensure student tutors have needed resources. Match struggling students with prospective tutors. Track student tutor program data and provide reports as requested.
  • Process visiting student applications for CUSOM students completing course work outside the University. Input information into the student information system for enrollment purposes and track student agreements with outside institutions to ensure visiting students receive course credit.
  • Draft initial correspondence for Student Life Deans and leadership. Maintain confidential student records, files, and progress.
  • Act as a primary contact to student honor societies and assist with student honor society events, communication, and selections. Procure event goods and services as requested.
  • Work cross functionally and provide recommendations on enhanced services and document processes for efficiencies.
  • Provide support to the Office of Student Life manager and colleagues on activities including student events, admissions, student record management and data analysis during peak seasons

Work Location:

Hybrid – this role is eligible for a hybrid schedule of two days per week on campus and as needed for in-person meetings.

Qualifications:

Minimum Qualifications:

Intermediate Professional

  • A bachelor’s degree in education, communication, social science, women and gender studies, psychology, computer science, information systems, business, health sciences, physical sciences, public administration, business administration, higher education, counseling, hospitality, liberal arts, finance, accounting, human services, student affairs, or a directly related field from an accredited institution.
    • Substitution: A combination of education and related technical/paraprofessional experience may be substituted for the bachelor’s degree on a year-for-year basis.
  • A minimum of 1 year of broad and diversified professional experience that has included administrative responsibilities.

Senior Professional

  • A bachelor’s degree in education, communication, social science, women and gender studies, psychology, computer science, information systems, business, health sciences, physical sciences, public administration, business administration, higher education, counseling, hospitality, liberal arts, finance, accounting, human services, student affairs, or a directly related field from an accredited institution.
    • Substitution: A combination of education and related technical/paraprofessional experience may be substituted for the bachelor’s degree on a year-for-year basis.
  • A minimum of 2 or more years of broad and diversified professional experience that has included administrative responsibilities.

Preferred Qualifications:

  • Experience providing logistical support for events, meetings, retreats, special programs, etc.
  • Experience handling multiple phone lines, routing calls, answering questions and providing information.
  • Experience managing communications with large groups of students or constituents.
  • Prior experience working in an academic medical environment in student affairs, curriculum, or similar role.
  • Some experience in Peoplesoft/CU-SIS or a comparable student record management system is helpful.

  • Ability to develop spreadsheets and databases for reporting and tracking purposes.
  • Experience interpreting
  • Availability to work occasional nights and weekends as required

    Anticipated Pay Range:

    The starting salary range (or hiring range) for this position has been established as

    Intermediate Professional: $47,661 - $60,625 annually

    Senior Professional: $51,525 - $$65,540 annually

    The above salary range (or hiring range ) represents the University’s good faith and reasonable estimate of the range of possible compensation at the time of posting. This position may be eligible for overtime compensation, depending on the level.
