Wayne State University is searching for an experienced Academic Services Officer I, College of Education at its Detroit campus location.

 POSITION PURPOSE:

 This position will primarily focus on unique cohort programs with school districts. It will also include support for traditional certification programs in the division. This position will report to the Assistant Dean of the Teacher Education Division, Nimisha Patel.

ESSENTIAL FUNCTIONS:

WSU Collaboration: Collaborate with and remain in regular contact with College of Education Assistant Dean of Teacher Education (monthly meetings), Assistant Dean of Academic Services and advisors, as well as with WSU Outreach, financial aid, bursar, registrar, scheduling, bookstore, etc. to effectively coordinate cohorts and address any district needs.

Financial Aid: Collaborate with the Office of Financial Aid on Michigan Teacher Fellowships & Michigan Student Teaching Stipends.

Cohort Schedules: Collaborate with program coordinators/faculty/Educational Partnerships and Experiences to create full cohort schedule plans for districts/programs; create & monitor schedules (classes, field placements, instructors, follow-up block scheduling issues, etc.); ensure implementation of key and unit assessments; etc.

Orientations/Meetings: Coordinate, plan, & facilitate cohort orientations, application/FAFSA mtgs, cohort Q&A mtgs, monthly district meetings, etc., inviting the appropriate WSU staff/faculty; meetings will include face-to-face, online, and hybrid formats.

Create and maintain cohort listservs for ease of group communication.

Create and maintain program and cohort handbooks (e.g., points of contact, FAQs, tentative full program schedule, key and unit assessment information, faculty profiles, MTTC information, etc.).

Monitor student grades/share with districts per FERPA releases; each semester speak with students struggling in courses to identify appropriate supports.

Collaborate with WSU Department of Mathematics on scheduling and staffing of program-required mathematics courses (e.g., MAT 1110 & MAT 1120); co-facilitate math placement tests as needed.

Develop, maintain, update, renew MOUs with districts for cohort programs. Work with WSU General Council, Teacher Education Assistant Dean, WSU Outreach, etc.

Survey cohorts to determine, provide, and monitor needs, supports, etc.

Respond to student inquiries about program/concerns/etc.

Cohort Recruitment: Work with area districts on annual recruitment of new cohorts – deliver information sessions, flyers, PPTs, etc.; share programs to recruit additional cohorts with existing or new partners.

Regularly attend and engage in division and appropriate program meetings.

Work with faculty and staff to advance, nurture and maintain a vision for the programs and the division that includes open communication, collaborative decision-making, and transparency.

Advising: Communicate effectively and accurately academic and nonacademic requirements, policies, and procedures to prospective and admitted students, faculty and staff.

Provide recruitment data to the Assistant Dean.

Must be available to work evening and weekend hours as needed and requested.

Must provide own transportation to work and work-related events.

Work with minimal supervision.

Other duties as assigned.  


MINIMUM QUALIFICATIONS:

Education: Bachelor's degree.

Bachelor’s degree in K-12 education, student affairs, higher education, or related fields from an accredited institution is required.

Experience:  2-3 years of experience in coordinating academic programs or activities, preferably in educational or non-profit setting(s).

Ability to work collaboratively in a cross-functional team setting; ability to work with school district personnel, faculty, administration, academic and non-academic units, and students; sensitivity to the needs of a diverse and non-traditional student population; interpersonal/human relations skills; ability to encourage and empower students to make their own decisions; ability to act as an advocate for both the student and the university; ability to identify students' needs for support services in order to make appropriate recommendations; and ability to maintain confidentiality.

Highly organized and detail-oriented.

Excellent written and oral communication skills.

Excellent organization, technological, and collaborative skills.

Strong focus on detail and task completion.

Ability to develop new and unique ways to improve operations to achieve established goals and objectives.

Ability to shift priorities and multi-task on various projects. Ability to accurately scope out length and difficulty of tasks and projects, and realistically estimate time and resource requirements.
