ORGANIZATIONAL SUMMARY:
The main purpose of this position is to be the primary administrator for our new Dept. of Medical Engineering, which has 3 BME Academic programs:  Undergraduate BS in BME, Masters in BME, and PhD in BME.  Normal departmental activities will be conducted such as a Departmental Seminar Series and faculty and staff hirings and evaluations and reports on metrics.  This Dept. Administrator reports directly to the Dept. Chair, but also assists other department faculty and staff in their missions and duties.  New departmental space will soon be available on the top (7th floor) of our new USF Interdisciplinary Sciences Building (ISA); which will contain all of the Dept. offices, conference room and is directly adjacent to several department research labs and our new student labs.
POSITION SUMMARY:
The Academic Services Administrator will lead and support academic activities related to the planning, recruitment, marketing and assessment functions of the academic programs in the Medical Engineering department. This person will work individually and as part of a team to collaborate with other faculty/staff members in aspects such as programmatic development, development of promotional materials, publishing academic and departmental materials and working with the web site. The person in this position will also be responsible for marketing, recruitment of students, course scheduling, revision, inventory and organization of space allocations, design and implementation of activities for students and faculty within the department. The Academic Services Administrator will also manage scheduling of courses, support data collection and report generation, support accreditation activities, provide support for financial activities, and act as a liaison with other departments in the College and University.

RESPONSIBILITIES:
Student recruitment and policy/procedure advising in the department: Work with undergraduate as well as graduate Program. Serve as the coordinator for Medical Engineering programs in recruiting quality students. Processing applications, tuition waivers, & course permits. Work with Graduate Admissions officers. Monitor and track student academic progress. Conduct periodic surveys of students. Work with other departments in the college, Registrar's Office, and Graduate school with policy and procedures. The person in this position assists the Chair in appointing teaching assistants. Support and be the liaison with other offices for services, programs, tasks, activities, and transactions that are critical to the establishment, appointment and progress of graduate and undergraduate students.
The person in this position coordinates the submission and development process for new course offerings, new programs, and program revisions.
Supervises Academic Program Specialist and FWS student employees.
The person in this position provides information and ideas for the producing of annual reports, newsletters, brochures, processes, etc. to promote the new department. The College Communications Officer will produce the final products with help from the ASA.
As part of the department ABET and SACS accreditation activities, the person in this position performs analysis on course assessments and tracks progress towards accreditation objectives. Works with faculty and department chair on compilation of undergraduate and graduate assessment reports. Designs and conducts surveys; interprets survey results; and prepares discussion and agenda items for faculty meetings and advisory board meetings. Summarizes curricular deficiencies and works with chair and faculty on action
plans.
Works with the department chair and faculty on coordinating the schedule of courses for undergraduate, graduate, online and any other type of courses offered by the department. Work with other college contacts on course space, classroom/lab logistics to ensure seamless delivery of instruction. Also, work with faculty regarding equipment, material and lab fees. For the Medical Engineering course coordination, the person in this position will work with all College departments, as well as, other USF colleges (as the courses will be taught by faculty members not necessarily in the Medical Engineering department).
The person in this position will assist the department chair with faculty meeting agendas. The Academic Services Administrator will take minutes at faculty meetings; assist administratively with faculty and adjunct faculty recruitment; collect, analyze and present program and performance data; prepare faculty assigned duties (FAIR system); maintain annual and sick leave and bi annual reports (GEMS system) for faculty and staff; coordinate advisory board meetings, participate on appropriate committees; manages the department chair on appointment schedule; assist faculty with their Tenure and Promotion (including mid-term review packages) application and work with college coordinator.
POSITION QUALIFICATIONS:
MINIMUM:
This position requires a Master's degree in education or a field of study related to the academic program, or a Bachelor's degree in those same fields with a minimum of two years of experience.

 

Degree Equivalency Clause: Four years of direct experience for a bachelor's degree.


PREFERRED:
A Master's degree in a field of study related to the academic program and/or equivalent administrative experience in a relevant/university environment.
SPECIAL SKILLS/TRAINING:
Extensive experience with Microsoft Outlook programs.  Eagerness to lead by example and take a service attitude towards carrying out job responsibilities and helping other members of the Dept. succeed in their missions.
