Founded in 1979, the Johns Hopkins Center for Talented Youth (CTY) is a center for innovation dedicated to advancing the field of gifted education through research on testing, programs, and other supports for advanced learners. On the premise that advanced learners come from every community and every demographic, we aim to understand and inform how these students need to be nurtured to achieve their full potential as learners and global citizens. CTY also runs in-person and online academic programs for bright learners in order to cultivate a community of advanced learners and connect students in and outside the classroom.

Reporting to the Director of Recruitment & Enrollment Management, we are seeking an Academic Services Administrator of Enrollment Operations who will be a highly operations leader that is responsible for working with Enrollment Management and across the Center to drive, enable and support initiatives to achieve CTY’s Strategic Enrollment Plan. A key function of this role is to train and help EM teams monitor, troubleshoot and optimize performance. The Academic Services Administrator will act as the point of escalation for all process, system or experience issues/challenges. This role is a critical partner to and designee of the Director with the authority to represent business interest and needs. The Academic Services Administrator

will also lead initiatives to accelerate revenue growth and lead best practice enrollment related initiatives to improve productivity and enrollment outcomes.

The Academic Services Administrator will act as a key business partner, liaising with IT, Communications & Marketing, Recruitment & Partnerships, Finance and other core CTY business units. The incumbent will develop and maintain strong relationships across the organization to ensure high quality family and student experiences and meet enrollment performance objectives.

Specific Duties & Responsibilities

Operational Support

  • Serve as a key business partner for strategic organizational initiatives (i.e. CTY 4.0)
  • Serve as central escalation point for all EM tickets that impact user or family experience.
  • Identify process inefficiencies, implement solutions, and track progress against end goal.
  • Enrollment Productivity – Define and help implement initiatives to drive EM performance.
  • Develops deep knowledge of EM tools (i.e., CRM and SIS) to enable user adoption and utilization.
  • Supports administration of EM tools where appropriate.
  • Interpret, communicate, and apply results of data analysis to inform day to day enrollment management functions.
  • Design, generate, and produce standard and custom analytical reports summarizing transactional data to support the operations of Enrollment Management.
  • Perform business requirements gathering and analysis, and clearly communicate findings and process improvement recommendations to various stakeholders.
  • Enable EM performance through the creation and deployment of knowledge management and performance monitoring solutions.
  • Performs continuous analysis of data and the operation and organizes the results into meaningful reports that can be acted upon by the Enrollment Management leadership team, internal and external constituencies.
  • Engage with EM teams to consistently obtain feedback on systems, processes etc. to improve performance.

Customer Engagement Analysis

  • Ensures accurate enrollment data for census and supervising the correction of any data errors.
  • Works closely with EM leadership to cull data pertaining to customer engagement, admissions, registration and financial aid; compiles and analyzes data for reporting; and shares suggestions and insights to improve future conversion and retention activities.
  • Develops and maintains a data collection, analysis and reporting plan to cover enrollment activities, and effectiveness of various enrollment activities.
  • Evaluate the impact of enrollment activities on conversion and retention rates.
  • Create and generate ongoing recruitment, membership, application, and enrollment reports to support student acquisition and retention activities, decision making and enrollment strategies.

Minimum Qualifications

  • Bachelor's Degree.
  • Three (3) years related experience within education, inside sales, or customer service settings preferred.
  • Additional education may substitute for required experience and additional experience may substitute for required education, to the extent permitted by the JHU equivalency formula
  • Exemplary verbal and written communication skills.
  • Strong analytical skills with ability to translate large datasets into actionable insights.
  • Self-starter with ability to see projects through to completion.
  • Strong competency in problem solving and data analysis.
  • Strong ability to navigate and build relationships in a dynamic, highly matrixed environment.
  • Strong written and oral communicator.
  • Effective working under pressure, and able to execute quickly and efficiently.

Preferred Qualifications

  • Four plus years of experience in Sales or Enrollment/Recruitment Operations.
  • Advanced Excel experience.
  • Proficient in Salesforce.com or other CRM solutions.

JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience.
