Position Description

The University of South Carolina (USC) is seeking someone who is organized, hard-working, and detail-oriented to serve as the Academic Course Scheduler with University 101 Programs. University 101 Programs is an internationally renowned academic unit that focuses on helping students transition into, through, and out of the University of South Carolina. We offer 6 different courses with a total annual enrollment of close to 7000 students. These courses are taught by over 500 instructors and peer leaders.
This position will support this work by facilitating the creation and management of the master schedule for over 400 sections of UNIV courses during the academic year, managing the instructor credentialing process, supporting UNIV instructors, and coordinating logistics for various departmental events. This position will also supervise the administrative assistant position and serve as an integral part of the University 101 Programs team.
Preferred candidates for this position will have at least a bachelor’s degree, knowledge of the scheduling process at USC, and experience working in higher education. The successful candidate will join a talented and experienced department whose work has significant impact on faculty, staff, and students at USC.
Minimum Qualifications
Bachelor’s degree and 3 or more years of experience, which may be substituted by equivalent combination of certification, training, education, and/or experience.
Preferred Qualifications
Familiarity with relevant systems including Banner and Data Warehouse.
Knowledge/Skills/Abilities
Excellent written and verbal communication skills, as well as proficiency in Word, Excel, and PowerPoint. Ability to interpret university policies.

Coordinate the planning and development of the master schedule for all UNIV courses for fall, spring, and summer using campus student information systems (Banner & DataWarehouse). In conjunction with the Executive Director, coordinate with department contacts and campus partners to build the master schedule of over 400 sections in order to ensure enough seats to accommodate enrollment demand.

Manage changes to the academic schedule for UNIV course and communicate updates to relevant parties. Send instructor section confirmations and add instructors to relevant systems including sharepoint and listserv. Communicate master schedule and schedule changes to the Registrar, proof the UNIV schedule in Self-Service, and maintain course schedule and instructor information in the University 101 Database to ensure information is accurate. Provide course overrides to students, regularly monitor course enrollment, and troubleshoot as needed. Keep available rooms list up to date. Coordinate schedule information with Human Resources team in Student Affairs to ensure timely and accurate instructor hiring process.

Responsible for coordinating and provide logistical support for a multitude of special events. Coordinate logistics for events including catering needs, space reservations, and material preparation. Serve as office liaison for campus catering and space reservations.
