Academic Programs Coordinator-Senior (Recruitment & Science Outreach)

Job Summary:

Under minimal supervision, responsible for leading the administrative support for the department's academic mission to ensure compliance with standards set by internal and external regulating bodies. Facilitates and coordinates various academic activities, maintains records, databases, provides curriculum information, manages the application process, and maintains documentation for continued accreditation.

 

Job Duties:

1.     With supervision from executive director, responsible for initiation of STUROP and TEI outreach programs, to include participating in the recruitment of students, mentor recruitment, mentor placement, student progress checks and data collection leading to grant writing for future sustaining funds for these new outreach initiatives. Assisted in the development and delivery of leadership lesson modules.

2.     Expands ever changing educational contact lists, especially focusing on inner city schools, resulting in growth of partnership relationships and implementation of the STEMM and STEMM Plus initiatives.

3.     With program Director, serves as recruitment team participating in TACRAO fairs across Texas, speaking to both parents, students, teachers, and counselors regarding UTHSA professional programs and promoting outreach opportunities to empower students to follow the trajectory of their future careers in biomedical careers. 

4.     Alongside program director, collaborates with community educational leaders for the implementation of campus visits, career days and workshops.  Serves as educational liaison for local schools and develops network of communication facilitating student interaction with ORSO office. Organizes student participation in ORSO activities and teacher partnerships for the creation of novel outreach endeavors and enrichment of existing partnerships. 

5.     Assists in the recruitment of students for outreach programs, and once students are accepted, facilities paperwork for those requiring compliance documentation as minors in the research workplace. Procures insurance coverage for all summer programs and serves on the Youth Protection Policy Committee for UT System. Serves as the primary point of contact for the NISD research program to coordinating partnership between ORSO, NISD, and the GSBS. Additionally, creates summaries for students requesting recommendation letters from the director. 

6.     Responsible for setting up labs as needed, as well as creatively delivering content. Ordering supplies for the office, sending mailouts and overseeing day to day operations for ORSO success. Assists Executive Director in the identifying of faculty or professional students that could serve as presenters or mentors for our students.  

7.     Composes and prepares complex correspondence, forms, fliers, and annual data reports for tracking students and student satisfaction with outreach programs. Creates flyers for marketing for use at career fairs and career days at local schools. Order and maintains supplies for marketing materials for perspective students and prepares all items required for Executive Director's participation in workshops on and off-campus.

8.     Data management and coordination for all minors conducting research endeavors at UTHSA. Sits on the working committee currently developing the automated process for student onboarding. Organizes all documentation for Executive Director's correspondence and files regarding Youth Protection Policies and joins Executive Director as representatives at YPP committee for UT System.

 

Education:

·       Bachelor's degree in Business Administration, Education, or related field is required.

·       Bachelor’s degree in any Science is highly preferred.

·       Will accept experience in lieu of Bachelor’s degree (4 years).

 

Experience:

·       Four (4) years of student programing or pipeline programs experience is required.

·       May require specific experience in curriculum development.
