ORGANIZATIONAL SUMMARY:
The Office of Academic and Student Affairs is responsible for recruitment, registration and yielding enhancements impacting the enrollment of all student-related academic matters of prospective and current students, both undergraduate and graduate, degree seeking and non-degree seeking students.  The office interacts with the College of Public Health (COPH) academic concentrations and other administrative units within the college, in addition to the University Registrar's office, Graduate Admissions, and the Graduate School to plan, develop and implement academic services at the COPH.  The office coordinates these services with students, faculty and staff across the USF system.
POSITION SUMMARY:
Coordinate graduation certification for approximately 160 graduate level students each semester in the COPH.  This includes communicate to students the deadline and required documents, complete degree audits on potential graduates, communicate the deficiencies that prevent graduation, GPA calculations, course transfers and substitutions, print unofficial transcripts.  Work with the advisors and faculty mentors to help the students meet graduation requirements.  Work with the registrar's office and graduate school to ensure the college adheres to university and state policy graduation requirements.  Manage the CPH Exam process which includes student registration information and study guide requests.  Verify eligibility to sit for the CPH Exam and issue cost vouchers to students for their initial exam.
RESPONSIBILITIES:
Graduation Certification:  Coordinate graduation certification for the College of Public Health to include provide initial student communication every semester for graduation process through OASIS for the University and the College.  Provide instruction on surveys and competencies. Coordinate preliminary certification process.  Coordinate student, graduate advisor and faculty mentor communication.  Conduct the withdrawn process.  Perform final graduation certification to include outstanding items have been received, progress courses are completed and MSPH or PhD student thesis/dissertation are approved.  Create student certification letters to potential employers, universities and third parties.  Process graduation reinstatements. Assist the graduate school and registrar's office to reinstate students.  Manage a shared email box with the Academic and Student Affairs Office, students, faculty and others across the university system.  Interpret and enforce graduation College, University and State policy.
CPH Exam:  Coordinate the CPH Exam and the voucher process to include: communicate eligibility requirements, registration and exam information to faculty and students.  Verify voucher eligibility.  Maintain a tracking excel database, assign initial exam cost vouchers.  Maintain graduation database.  Verify final exam eligibility.  Update eligibility within an Association of Schools and Program of Public Health (ASPPH) portal. Audit voucher invoices received from ASPPH to ensure they were paid.  Verify with ASPPH that the invoices were paid and work with the COPH finance department to ensure there are not any outstanding balances.  Manage a shared email box specifically for the CPH Exam
Processing:  Assist in other areas of the unit during peak periods to include reduced rate actions, graduation certification, CPH exam, permits, holds, restrictions, course manipulation/creation in banner, 25live, and Archivum.  Reduced rate - assist register students who have submitted electronic request.  Graduation certification - assist with the preliminary evaluation of degrees.  CPH Exam - assist with adding test results to the graduation documents.  Assist with issuing permits, removing holds, adding contract courses and other student actions.  Interpret and enforce College policy regarding the CPH Exam.
Upload graduation documentation and CPH vouchers to the University document storage and workflow system and Archivum to include upload and manipulation access to banner and Archivum.
Other duties as assigned.
POSITION QUALIFICATIONS:
MINIMUM:
This position requires a high school diploma or equivalent, with four years of experience in office or administrative positions. Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for the required experience. Four years of direct experience may substitute for a Bachelor’s degree (SB130).
PREFERRED:
Experience working with Banner.  Experience creating and building courses.  Experience creating reports and auditing data.
SPECIAL SKILLS/TRAINING:
Banner; graduation certification; document retention program and which documents fall within the various categories.
