Academic Personnel Specialist


Job Description

The College of Health Solutions (CHS) is seeking a dynamic individual to be an Academic Personnel Specialist. This position manages promotion and tenure and other personnel processes for both tenure-track and career-track faculty in CHS. They additionally manage the calendars and travel of the assistant and associate deans of the hub. To be successful in this role, the candidate must be skilled in handling confidential and sensitive information, have a deep knowledge and understanding of academic and university policies, and can administratively support multiple administrators simultaneously. This position will report to the Program Coordinator in the Faculty Success Hub on the Downtown Phoenix campus.

Salary Range

$55,000 - $63,000 per year; DOE


Essential Duties

  • Coordinates faculty personnel actions including promotion and tenure, conditional contracts, probationary contracts and expedited reviews for tenure-track faculty and promotion for career-track faculty and multi-year contract renewals.
  • Serves as backup for academic data preparation, analysis and reporting.
  • Schedules CHS personnel committee meetings.
  • Complies bi-weekly Faculty Success Hub Newsletter.
  • Manages assistant and associate deans’ calendars to ensure optimal use of their time.
  • Processes travel authorizations and travel claims for assistant and associate deans.

Minimum Qualifications

Bachelor's degree and four (4) years administrative support experience; OR,Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.


Desired Qualifications

  • Experience working in higher education and knowledge of university policies and procedures with an emphasis on academic personnel.
  • Experience with faculty personnel actions (promotion and tenure, sabbatical Interprets university and Board of Regents policies about faculty.
  • Experience in working independently and solve complex academic personnel questions and issues.
  • Evidence of effective communication and interpersonal skills at all levels including faculty and college administration.
  • Experience in exercising discretion in confidential personnel matters. 
  • Experience working in a fast-paced dynamic environment subject to quickly changing priorities and potentially conflicting deadlines.
  • Experience directly supporting an administrator, preferably in a large higher education environment.
  • Experience in managing multiple projects and meeting deadlines while managing accuracy, high levels of organization and attention to detail.
  • Demonstrated knowledge of the principles of exemplary customer service demonstrated through active listening, acknowledging, and responding quickly to every inquiry.
  • High-level experience using MS Office applications (i.e., Excel, PowerPoint, Word, and Outlook), Adobe Acrobat DC and Concur.

  • Use basic math.
  • Activities are performed in an environmentally controlled office setting.
  • Ability to clearly communicate.
  • Required to stand for varying lengths of time and walk moderate distances to perform work.
  • Use office equipment, i.e. printers, copiers, fax machines, telephones, calculator.
  • Regular activities require ability to quickly change priorities, may include/subject to resolution of conflicts.
  • Use of software/computer equipment for extended periods of time.
  • Use critical thinking to make decisions and/or analyze and report data/results of tests conducted.
  • Ability to lift and transport up to 25 pounds.
