Department Description

The Department of Public Health Sciences is a large, complex teaching and research department in the UC Davis School of Medicine. Our mission is to improve the health of people through population-based approaches by carrying out educational programs, epidemiologic research, public service, and policy development. The Department consists of 27 faculty members, 3 lecturers, 29 Volunteer Clinical Professors, 16 postdoctoral scholars, 15 graduate student researchers, visiting scholars and multiple other academic student appointments.

This is a fulltime, career position responsible for the facilitation of academic personnel actions in collaboration with other Schools, Colleges and Departments at UC Davis. The Academic Personnel Analyst advises the Department Chair, Division Chiefs, Chief Administrative Officer, and Management Services Officer on academic personnel timelines and processes, trends,and problem/conflict resolutions.  The position works with the Dean's office to monitor the department's state-funded FTE positions and implementation of related academic processes. The incumbent independently performs complex analyses in academic personnel and human resources administration. Manages all academic advancement actions.  Responsible for analyzing existing and proposed administrative polices and procedures.  Provides expertise with complex transactions for academic appointments that require an understanding of the School of Medicine, UC Davis Policies and Procedures, and Academic Personnel Manual Policies and Procedures.  Provides expertise in compensation plan and salary structure for academic employees.  Independently composes/drafts correspondence required for faculty recruitment, hiring and directives. Provides expertise and consulting support to the Department Chair regarding all recruitment and search processes and must have a clear understanding and ability to interpret and apply campus and system wide policies and procedures related to all aspects of academic personnel. This position will also provide support for the staff related human resource actions of the department.
Required Qualifications
  • Experience working in an academic setting.
  • Experience processing merit and promotions for faculty members.
  • Experience hiring and onboarding academic appointments.
  • Demonstrated experience in maintaining a high degree of accuracy and attention to detail while working on multiple projects, conflicting priorities, heavy workloads, and demanding deadlines.
  • Skills to communicate efficiently and effectively, both orally and in writing, with diverse groups of indiviuals.
  • Critical thinking and applied problem-solving skills to independently recognize and define a problem;  research and analyze complex and/or differing information and/or problems related to all personnel activity in an objective manner; identify the resources available to help solve the problem; create and implement viable solutions, and follow through to ensure a problem is resolved to the satisfaction of all parties.
  • Knowledge and familiarity with academic guidelines for recruitment, appointment, processing faculty merits and promotions, including academic personnel teaching and research commitments.
  • Strong organizational and planning skills.
  • Analytical skills to review reports, dossiers, summarize and make determinations on further action.
  • Excellent  writing, editing and proofreading skills, using correct grammatical format to create or edit correspondences, reports, position descriptions/vacancy listings and etc.
  • Computer skills and working knowledge of various programs (internet, word processing, spreadsheets, databases, presentation software, etc.) to accomplish daily work.
  • Ability to develop innovative solutions, attempt difficult and unfamiliar assignments and respond with flexibility to requests for assistance.
  • Ability to effectively interpret and apply policies.

Preferred Qualifications

  • Demonstrated knowledge of SISS policies and procedures.
  • Knowledge of UC polices and UCD Academic Policies and Procedures.
  • Knowledge and ability to use PPS and PeopleSoft program and working knowledge of AggieService, TAM, MyInfo Vault, AP Recruit, and OATS.
  • Extensive knowledge of J-1, F-1, TN, and  H1-B  visas is highly.
  • Working knowledge of UC Davis School of Medicine hiring practices for academic employees.
  • Certification in Academic Personnel through the UC Davis Staff Development Office.

Special Requirements
  • Must be able to work occasional overtime when required. Able to represent department at both onsite and offsite meetings.
  • Must maintain confidentiality.
  • Must possess a California Driver’s License and participate in the DMV Pull Notice Program.

This position may be subject to a criminal background investigation, drug screen, Live Scan fingerprinting, medical evaluation clearance, and functional capacity assessment.
