Academic Operations Coordinator

Franklin University has 2 positions available as full-time Academic Operations Coordinators.  One will support the Dean of the College of Health & Public Administration (COHPA) and one will support the Dean of the College of Arts, Sciences & Technology (CAST).  The selected individuals will serve as the primary assistant to the Dean and will coordinate any projects, initiatives, and partnerships managing both internal and external affairs, representing the Dean in meetings, and spearheading significant projects related to academic affairs within the college and throughout Academic Affairs.

Representative duties include providing high level comprehensive administrative support including managing schedules, handling correspondence, and coordinating meetings and appointments, budgeting, purchasing, cost allocation and invoicing, serving as the point of contact for the Dean and supporting faculty in projects, travel, and purchasing; providing meeting support & representation including preparing briefing materials and agendas for meetings on behalf of the Dean, capturing meeting minutes/notes/actions items, etc.; project management including taking the lead on large-scale projects and coordinating with various departments and stakeholders to ensure timely completion and adherence to established goals, conducting research, gathering data, and preparing reports as needed, refining processes and improvements and anticipating important considerations for the Dean to be aware of; serving as the communication liaison between the Dean’s office and other internal and external constituencies and communicating on behalf of the Dean with faculty, staff, students and external partners including anticipating the need for communication; handling special projects as assigned including organizing events, conducting surveys, or implementing new policies and procedures on behalf of the Dean; and handling sensitive information with the utmost confidentiality and discretion while maintaining a high level of professionalism at all times.

We seek someone with excellent written and verbal communication skills, demonstrated ability to think strategically and contribute to the achievement of the college’s goals and objectives and has a minimum of a bachelor’s degree for these key roles.  Duties are fluid and percentages of time spent on each activity will change over time.  The selected individual should be flexible and adaptable to changing priorities and be able to work effectively in a fast-paced environment, have a minimum of 3-5 years of applicable experience preferably in an academic or higher education setting, and have highly developed Microsoft Office skills. Experience with academic management systems would be a plus in these positions.
