Department Overview:

The Department of Orthopaedic Surgery at UCSF provides expert treatment for all aspects of musculoskeletal injuries including inpatient and outpatient surgical care, rehabilitation, and orthotics and prosthetics. Our physicians have specific training and experience in a broad range of othopaedic specialties such as sports medicine, trauma, joint replacement, pediatrics, oncology, spine, shoulder and elbow, foot and ankle, and hand. The Department is internationally recognized for its work in patient care, education, and research. Our basic and translational research programs focus on cartilage and disc regeneration, fracture healing, molecular and stem cell biology, bioengineering, and musculoskeletal development.

Role Responsibilities:

The function of the academic office of the Orthopaedic Surgery Service at UCSF is to provide high-level administrative support services for the professional commitments of the faculty in the Department, including teaching and research activities.

Under general supervision, working independently, this position is responsible for the complete coordination of the academic offices for the UCSF Department of Orthopaedic Surgery Faculty. The incumbent plays a significant, proactive, and creative role to facilitate and expedite the integration, communication, and coordination of all information and activities related to the full-time faculty and clinical fellows associated with the services and programs supported within the department. This position will primarily support the Pediatrics division at UCSF Benioff Children’s Hospital in Oakland and handles special projects for the CAO as needed.

The hourly compensation range for this role is $29.03 - 41.55. An offer will take into consideration the experience of the final candidate, position requirements, AND the current salary level of individuals working at UCSF in a similar role.

For roles covered by a bargaining unit agreement, there will be specific rules about where a new hire would be placed on the range.

Department Description

UCSF's Temporary Employment Program (TEP) recruits and hires temporary employees for immediate clerical and technical support services to UCSF Departments and various off-campus locations. UCSF departments deploy temporary employees to work on special projects, fill in for regular employees who are on vacation or leave, or to temporarily fill a vacant position during recruitment. Frequently temporary employees become successful candidates for career and limited appointment positions.


Required Qualifications

  • Experience with preparation of technical manuscripts, abstracts, protocols, consent forms, reports, applications, and CVs
  • Experience making travel arrangements including air, conference, hotel, car reservations and processing expense reimbursements
  • Experience and a high skill level related to confidentiality, discretion, and good judgment
  • Experience supporting C suite level executive including calendaring and scheduling meetings, phone conferences
  • Experience with copy-editing and proof-reading
  • High School diploma or equivalent including four years of related administrative/executive experience; or an equivalent combination of education and experience
  • Strong knowledge of MS Office (including Word, Excel, PowerPoint, Outlook) and Adobe Acrobat; and WordPress for HTML
  • Excellent interpersonal and oral and written communication skills
  • Demonstrated ability to handle a variety of tasks with a high degree of accuracy (multitasking) and ability to set priorities when confronted with competing requests
  • Demonstrated record of reliability and excellent attendance
  • Demonstrated ability to interact effectively with wide range of executives/faculty, staff, trainees, campus, and community representatives, sometimes under pressure, remaining proactive, resourceful, professional, and efficient
  • Ability to meet tight deadlines and last-minute requests efficiently and accurately

Preferred Qualifications

  • Experience working in an academic environment
  • Basic knowledge of scientific and medical terminology
  • Proven grants management experience
  • Knowledge of UC Accounting practices, purchasing, and reimbursement
