Job Description: |
Academic Processes -Collect data and prepare Academic Activities Reports for courses/sections/instructors. -Prepare and submit Course-Teacher Evaluations for all courses/sections/instructors each semester. -Monitor University textbook adoption website, input faculty textbook adoptions each semester. -Authorize graders for all courses/sections; Assist graders with grade input procedures; Input grades for selected courses and as requested by instructors; Monitor department-wide grade submissions; Notify instructors about grading procedures and deadlines. -Assist faculty with the establishment and recertification of Material & Supply and Distance Learning course fees as appropriate; Conduct routine review of requests versus needs and work with faculty to adjust as appropriate. -Post announcements for graduate exams and defenses. -Coordinate department’s graduate student exit survey and assist with scheduling exit interviews with Department Chair. -Organize award application packets for SWES Award committee review. Course Scheduling -Prepare, update, and manage the preliminary and final schedule of on- and off-campus course offerings for the department. -Process online requests for past deadline additions, deletions, and revisions to finalize the schedule. Administrative Support -Provide administrative support to unit’s Academic Advisor: Maintain appointment calendar, assist with scheduling advising appointments and other meetings with SWES/IFAS Administration, draft and prepare correspondence. May attend meetings and takes notes on behalf of Academic Advisor as needed. -Supports Graduate coordinator, and Undergraduate and Graduate advisors. -Participate in relevant meetings and trainings on policies/procedures associated with CALS/SWES programs and their supporting technologies. -Schedule and organize events involving student groups, including the annual SWES Research Forum and Graduate Student Appreciation Week. -Request authorization for SWES student Gator1 cards. -Input and monitor graduate Letters of Appointment in myUFL -Assist with annual faculty tenure and promotion process. Academic Liaison -Communicate with and serve as a liaison for students, faculty, other departments. -Respond to telephone calls and emails from prospective students concerning academic programs in the department. -Maintain SWES Advising inbox, answering, and directing academic inquires. -Attend and table for on- and off-campus recruitment events, which may include travel to professional conferences to represent the department. Normal Work Schedule: Monday through Friday, 8:00a.m.-5:00p.m. There may be occasional travel for professional conferences and local student recruitment, as needed. |
Expected Salary: |
Up to $18.75, commensurate with education and experience. |
Minimum Requirements: |
High school diploma or equivalent and three years of relevant experience. |
Preferred Qualifications: | Preference will be given to applicants who have prior work experience in an academic setting. -Familiarity with Microsoft Office Programs (Outlook, Excel, Word) -Knowledge of standard business formats for email, letters, and memos -Knowledge of basic office procedures, filing systems, and ability to perform mathematical calculations. -Ability to review and compile data for accuracy and completeness. -Ability to work both independently and part of a team, work efficiently with good organizational skills. -Ability to understand and apply UF/College/Dept. applicable rules, regulations, and procedures. -Ability to plan, manage, and coordinate work assignments. -Ability to communicate effectively verbally and in writing. -Ability to establish and maintain effective working relationships with others. |
