This is a full-time, permanent post. The Academic Affairs Administrator ensures the efficient delivery of the NYU London academic programme and works closely with faculty and staff to coordinate academic class preparation and administration. The Administrator is the first point of contact for any academic student enquiries and manages communications between students, the Academic Affairs team, other NYUL administrative staff and faculty.

 

Academic Affairs Office administration: 50%

 

  • Dealing with general enquiries and administrative tasks associated with the successful running of the Academic Affairs Department
  • Coordinating the management of student attendance records in line with UKVI and NYU requirements
  • Supporting student immigration processes, including CAS issuing, and conducting and processing UKVI ‘Right to Study’ checks or similar
  • Assisting with the administration of registration and grading each semester
  • Assisting with data input related to classes, grading, student schedules, etc. on NYU databases and reporting systems
  • Helping to ensure the appropriate maintenance of academic records with reference to FERPA, data protection and any related requirements 
  • Assisting with the maintenance of records of grades, attendance, class offerings, etc. according to correct procedures
  • Assisting with room allocations and bookings; ensuring up to date knowledge of NYU’s room booking system; supporting blended/hybrid classroom teaching, to include Zoom support
  • Assisting with or organizing on-site functions and meetings as required
  • Supporting the academic-focused visits for visiting staff and faculty from NYU campuses and other global sites
  • Contributing to the strategic development of the programme particularly in relation to sustainability, affordability, diversity, equity and inclusion 
  • Other supporting requirements as assigned by line manager or as required by the Director

 

 

Class, Student and Faculty Support: 50%

 

  • Acting as first point of contact for academic-related faculty and student enquiries in person or by email/Zoom/phone; providing advice and guidance to students and faculty about academic policies and procedures
  • Coordinating co-curricular trip bookings and administration
  • Assisting with the communication of key information to faculty, including timetables, final registers, grade sheets, exam books, etc.
  • Supporting NYUL partnerships with external providers (e.g. RADA, NFTS, Science Labs) 
  • Assisting faculty with scheduling make-up class sessions 
  • Supporting the induction of new faculty
  • Providing ongoing faculty support with NYU’s VLE (currently Brightspace) and other classroom management tools; supporting initiatives to expand the use of the VLE
  • Assist with the administration of academic accommodations for students; including scheduling extended exam sessions, arranging note-taking, organising invigilation and acting as an invigilator

 



Required Education

 

  • Educated to degree level or equivalent qualification / experience 

 

Required Knowledge, Skills, and Abilities 

 

  • Strong organisational ability and keen attention to detail
  • A strong administrator with the ability to multitask and prioritise workload
  • Be willing to work on own initiative with little supervision
  • Excellent interpersonal and communications skills and comfort working with both students and faculty
  • An understanding of the needs of international students and ability to show cross-cultural awareness 
  • Be enthusiastic, pro-active and committed, and enjoy working as part of a small friendly team
  • Excellent written and oral skills
  • Computer literate with good working knowledge of Microsoft Office suite and ideally Google Suite
  • Flexibility and willingness to occasionally work outside of regular working hours 

 

Preferred Experience, Skills and Abilities

 

  • Knowledge and experience of working within an educational organization, especially at HE level
  • Some knowledge and understanding of US Study Abroad or US Higher Education 
  • A demonstrated commitment to promoting a diverse and welcoming environment, as evidenced by prior successful and innovative measures 
  • Some knowledge of UKVI/Home Office policies, procedures and systems as it relates to the ‘Student route’ visa 
  • Experience of working in a busy, front-facing office environment
