Position Summary:

Florida Atlantic University is seeking an Academic Advisor, PhD Programs, Executive Education - Boca Raton, FL.

Summary of Responsibilities:

  • Maintain communications with applicants to both the Executive and Traditional PhD programs, with primary focus on the traditional PhD applicants.

  • Support the application process by closely monitoring the applications and inquiries within the CRM platform and providing communications and guidance to applicants and prospective applicants.

  • Monitor, support, and facilitate the international student admissions process; monitoring and supporting the obtaining of official documents, including transcripts, international transcript evaluations, English proficiency, and GMAT/GRE exam reports; working with ISS to generate I-20 documents; and monitoring embassy visa appointments.

  • Oversee the obtaining of GTA assignments from PhD Faculty Coordinators for the Onboarding of incoming traditional PhD students and providing such information to the Dean’s office for the initiation of student employment contracts.

  • Collaborate with and/or deliver projects/tasks as requested by the PhD Faculty Director, Associate Dean or Assistant Dean.

  • Train on international transcript evaluation with the goal of providing additional support to the ISS office in conducting such evaluations.

  • Maintain communication with enrolled Executive and Traditional PhD students in support of our office’s Advising functions.

  • Reinforce and support student degree progress, academic success and retention, in alignment with university strategic goals and initiatives.

  • Track student progress and assist with outreach/retention efforts.

  • Advise current students on curriculum issues and class schedules.

  • Process registration for Executive Education graduate programs.

  • Resolve problems as they arise or recommend how problems can be resolved.

  • Collaborate with PhD Programs Coordinator to plan, organize, and execute both reoccurring and ad hoc special events (e.g. Open Houses, Orientation, Student Gatherings, Faculty Networking, etc.).

  • Oversee the obtaining of GTA assignments from PhD Faculty Coordinators for current students (both GTA and teaching assignments) and providing such information to the Dean’s office for the initiation of student employment contracts.

  • Act as liaison for student needs with our Executive Education functioning teams (IT, Ops, Financial Services) – primarily an email communications task.

  • Work closely with the immunization department, financial aid office, controller’s office, registrar’s office, and international student office to ensure that current students’ paperwork is updated.

  • Use Microsoft office suite (word, excel, etc.) to organize and track students’ academic progress and finance (tuition billing and payment).

  • Develop and provide best practices with team members and make positive and constructive contributions to foster a collegial team.

  • Manage, Organize, and participate in orientation sessions and graduation banquets.

  • Ad hoc projects as needed in support of the PhD students (e.g. hotel/airfare analysis for planning mandatory weekend dates for Exec PhD program, maintaining logo shirt gift inventory and distribution, Maintain PhD programs Listserves, etc.).

  • Collaborate with and/or deliver projects/tasks as requested by the PhD Faculty Director, Associate Dean or Assistant Dean.

  • Provide general office support if requested in other areas.

  • Other job-related duties as assigned.

Minimum Qualifications:

Master's degree from an accredited institution in an appropriate area of specialization; or a bachelor's degree from an accredited institution in an appropriate area of specialization and two years of appropriate experience required.
Preferred Qualifications/Skills:
Experience working with students, and/or adults in an educational environment.
University experience and knowledge of academic advising.
Data entry skills
Strong written and verbal communication skills.
Proficiency in MS Office Suite.
Customer service orientation and negotiation skills
Experience with Presenting to large groups.
High degree of accuracy and attention to detail
Knowledge of Banner, Workday, VIP, CRM system and Adobe

Salary:

$60,000 - $65,000 per year.
Exempt Administrative, Managerial, Professional (AMP)
