ORGANIZATIONAL SUMMARY:
The Office of Academic and Student Affairs is responsible for recruitment, registration and yielding enhancements that impact the enrollment of all student related academic matters of prospective and current students, undergraduate and graduate, degree seeking and non-degree seeking students.  The office interacts with other administrative areas within the college, in addition to the University Registrar's Office, Graduate Admissions, and the Graduate School to plan develop and implement academic services at COPH. The office coordinates these services with students, faculty and staff across the USF system.
The office is centralized for student recruitment, student pre-admissions, on boarding/ orientation, advising, student progress and probation, experiential learning, graduation certification, data, and programing.
POSITION SUMMARY:
The Academic Advisor will advise online and on-campus graduate students at the College. This includes but is not limited to: advises students concerning their academic plans and progress, academic schedule, choice of concentration, and other academic activities and career goals, to assist the student in making decisions concerning personal educational goals leading to graduation. The Academic Advisor will monitor graduate students progression towards degree, academic status including probation status, and graduation. This incumbent serves on university and college committees concerned with advisement and related academic matters and serves as a liaison between students and other university entities.
RESPONSIBILITIES:
Advise current students (individually or in a group setting, in person, electronically, or via phone) who are taking courses in the graduate programs and certificates at the College. Uses Degreeworks, Banner and Archivum systems to review and manage student academic records. Resolves data discrepancies. Provides information by answering questions and requests. Advise students of required forms and paperwork in regards to academic processes within the college. Suggest courses and course sequencing to encourage progress towards degree. Responsible for the confidentiality of student data.
Serves as a liaison between the graduate students, the university, Academic and Student Affairs, and the college departments. Maintain regular and efficient communication with all parties and coordinate exchange of information vital to students success. Maintain current knowledge of university policies and procedures, academic programs, and other programs and services. Provide students with accurate information and referrals. Reviews, interprets, and communicates academic policies to the College faculty as well as other
University offices which include but are not limited to the: Office of Graduate Studies, Office of Admissions. Financial Aid, Registrar, USF Health, and the Career Recourse Center.
Proactive and preventative outreach including withdraws, retention low grades, and probation  process. Advise students of their academic status and develop a plan  to progress, to improve GPA and/or path toward graduation. Advise of the appropriate university processes and forms.
Support student on-boarding process through  admitted student town halls, initial advising appointments, updating and maintaining on boarding modules, and supporting the Week of Welcome Graduate events.
Complete special assignments at the request of the Associate Dean or Director, such as, supporting graduate student events, recruiting, maintaining student resource materials, providing materials for college accreditation purposes, supervising OPS staff, working with student professional associations, and serving on various College committees.
Performs other duties as assigned
MINIMUM:
Bachelor's degree in education, counseling or academic field directly related to the Advisor's specific responsibilities with a minimum of one year of experience in advising or related academic functions within higher education.
FLSB 1310 equivalency:
4 years of directly related work experience may be substituted for a Bachelor's degree.
6 years of directly related work experience may be substituted for a Master's degree.
PREFERRED:
Master's degree in education, Counseling or academic field directly related to the Advisor's specific responsibilities; or a bachelor's degree in those same fields with a minimum of one year of progressively responsible experience in advising or related academic functions within higher education. One to three years of experience working in an academic setting. Experience working with faculty, students, and staff. Experience advising online and on-campus students. Experience working with Degreeworks/Banner/OASIS.
