Job Summary:

The Adult Career and Special Student Services (ACSSS) unit is part of the Division of Continuing Studies (DCS) at UW-Madison. The office serves as a gateway for adults who seek lifelong learning opportunities, as well as an important partner to campus units serving nontraditional populations. ACSSS is one of UW-Madison's admitting offices, processing over 5,000 applications annually and supporting the enrollment and advising of UW-Madison's special (nondegree) students in 15 different classifications over three terms. ACSSS serves students ranging in age from 14 to 92, including high school students, visiting international students, adults seeking professional development, and senior guest auditors. This position will serve as an advisor for several of these unique populations, and will focus particularly on advising high school special students and visiting students from other U.S. institutions. This responsibility requires attention to UW-Madison special student admission criteria, available academic programs, and close collaboration with campus and community partners involved in student success.
The key responsibilities for this role include:
- Provide academic advising including educational planning, application support, and enrollment support for those interested in attending UW-Madison as special students.
- Make admission decisions and process applications for several populations of pre-baccalaureate students, including high school special students (Early College Credit Program), students visiting from another U.S. higher education institutions, Edgewood Collaborative Program students, and pre-college program students.
- Serve as a dean's office representative for special students; interpret and apply special student and campus policies and procedures.
- Develop collaborative relationships with campus advisors and enrollment coordinators to help facilitate admission and enrollment for special students, particularly those in the Early College Credit Program.
- Collaborate closely with the Office of the Registrar, Bursar's Office, and other campus staff to troubleshoot student admission, enrollment, and billing issues.
- Support new initiatives and be flexible in meeting ACSSS and DCS needs as priorities evolve.
- Contribute to a strong team-based, supportive environment within the unit; back up other advising staff and cross-train on processes and job duties as appropriate.


Responsibilities:
Engages students in decision making processes and promotes appropriate and responsible choices on academic matters, such as course selection and degree requirements. Maintains appropriate confidentiality, updates student advising records, and contributes to the development of academic advising related programming. Works to ensure students receive accurate, timely, and holistic advising services in support of promoting student success, retention, and program completion. Supervises unit staff and/or manages an advising services portfolio and strives to create a welcoming, equitable, and inclusive work environment.
  • 40% Receives, processes, and responds to academic inquiries according to established policies and procedures
  • 20% Serves as a main point of contact for students and provides information about educational options and academic requirements; assists with identifying and assessing interests, skills, and values to match appropriate field of study/career options, and refers students to appropriate institutional resources
  • 10% Develops and implements academic advising events such as workshops, panel discussions, and guest speakers
  • 5% Maintains confidentiality and accurate student records and processes and responds to academic inquiries according to established institutional and Family Educational Rights and Privacy Act (FERPA) policies
  • 10% Supervises unit staff and/or plans, organizes, allocates resources, assesses performance, and leads the operational activities of a function within the advising or academic services portfolio, such as program management and/or curriculum management
  • 5% Maintains expertise with advised curriculum and may assist in developing and recommending exceptions for policy and curriculum
  • 5% Proactively engages students as needed
  • 5% Participates in the campus-wide advising community providing input to leadership regarding the development of advising, recruitment, and co/curricular programs offered by the school/college

Qualifications:

Required Skills:
- At least one year of professional experience in education, including experience in university admissions, college level student advising, and/or a university dean's office.
- Experience interacting with a variety of audiences within higher education, including prospective and current students, faculty, staff, and/or community partners.
Preferred Skills:
- Strong organizational abilities, especially managing multiple, concurrent projects and tasks.
- Exceptional writing, speaking, and listening skills with a variety of audiences, including prospective and current students, faculty, and community partners.
- Ability to investigate and solve problems independently.
- Demonstrated involvement with higher education initiatives and teams devoted to promoting an inclusive and welcoming environment in all aspects of the student experience.
- Familiarity with UW-Madison course offerings and enrollment system.
- Experience with PeopleSoft student information system.


Work Type:

Full Time: 100%
The Adult Career and Special Student Services office is open 8:00-4:30 Monday through Friday, with periodic evening and weekend events. This position will be able to work remotely for a portion of the week, but in-person attendance is required on Wednesdays and at certain meetings and events.
