Department Description

College of Biological Sciences includes five academic departments, eight graduate groups, and three major interdisciplinary centers (Genome, Neuroscience, Population Biology). The College has 120 tenure track faculty members, primarily with complex joint appointments with the School of Medicine, the Agricultural Experiment Station, the Bodega Marine Lab and/or other units. The College has over 1,000 employees, including career staff, Unit 18 lecturers, adjunct faculty, emeriti faculty, professional researchers, project scientists, academic coordinators, academic administrators, specialists, junior specialists, postdoctoral scholars, teaching assistants, graduate student researchers, student assistants and fellowship, block grant and training grant appointees. The interdisciplinary centers include an additional 30 faculty from the SOMCOEMPSDSS, and CAES. Annual operating expenditures total over $130 million primarily from state funds, tuition, and federal, state and private extramural contract and grant funds.

 

Job Summary

Under direction of the College of Biological Sciences (CBS) Executive Associate Dean and in collaboration with the Executive Assistant Dean, provides high level administrative management of complex academic personnel activities within the college, often of a confidential nature. Academic personnel scope of the position includes senate, federation, Unit-18, and postdoctoral titles. Works directly with the Dean, Executive Associate Dean, Executive Assistant Dean, and department faculty and staff on all academic personnel matters. Works with other schools/colleges on joint faculty appointments, and with campus administration on academic affairs and human resources policies and protocols. Represents CBS at campus Academic Affairs meetings. Interacts closely with both Academic Affairs and department Chairs and CAOs, providing advice and support on academic personnel and HR issues. Provides policy information and analysis, data analysis and interpretation, as well as recommendations to stakeholders.

WORK ENVIRONMENT

  • Maintain a work schedule during the core business hours (M-F, 8-5) and occasionally work additional hours as needed to meet business/operational needs.

MINIMUM QUALIFICATIONS

Minimum Education/Experience:

  •       Experience working with principles of human resource management, including familiarity and knowledge of bargaining units, academic affairs, and general personnel policies & procedures.
  •       Experience working with data to track, analyze, and produce reports, data interpretations and recommendations, as well as identify discrepancies.
  •       Experience using payroll/personnel system, databases, and other on-line systems to support transactional and analytical work.

Minimum Knowledge, Skills, and Abilities (KSA):

  • Critical thinking and applied problem-solving skills to research and analyze complex information and/or problems related to academic affairs in an objective manner. Analytical skills to anticipate and forecast impact of potential action. Proven ability to develop logical conclusions and to recommend solutions. Ability to interpret university policies and procedures.
  • Interpersonal and oral communication skills to handle sensitive or difficult situations diplomatically, and to work with individuals from diverse cultural and professional backgrounds. Writing skills to draft informational materials for clear, concise dissemination, and to edit copy for correct grammar, spelling and punctuation with attention to detail.
  • Organizational skills to coordinate large volumes of work and establish priorities. Ability to work on projects with competing deadlines; flexibility in dealing with people and competing demands; ability to pay close attention to detail.

 

PREFERRED QUALIFICATIONS

Preferred Knowledge, Skills, and Abilities (KSA):

  •       Skills to train, mentor new administrative staff with regard to both academic and staff personnel processes.
  •       An understanding and appreciation for organizational and interpersonal dynamics with the ability to perceive conflict in business settings and the skill to develop strategies to avoid it.
  •       Leadership and innovation abilities to improve efficiency and effectiveness of personnel processes.
