Job Description:

Serves as receptionists for the Senior Vice President’s office. Tasks include, but are not limited to greeting visitors, sorting mail, answers and manages phone calls. Must be able to communicate effectively with UF faculty, administrators, faculty, students, and stakeholders. Maintains inventory and organizes storage of kitchen supplies. Assist with food orders for meetings and events.  Request work orders from UF and IFAS Facilities Work Management for maintenance in office and any necessary maintenance issues in McCarty Hall D.  Maintains administrative offices’ directories in locked glass boxes found at entryways in McCarty D and B. Orders business cards for staff in the Senior Vice President’s office. Coordinates 2 state vehicles for maintenance and refueling as needed with motor pool.

 

Assist Executive Assistant I and Executive Assistant III with high volume projects.  Able to provide administrative assistance to the Senior Vice President and Associate Vice President in the absence of the Executive Assistants. Helps collect meeting materials, create meeting folders and notebook preparation. Assists with special events and participates in registrars' activities.

 

Coordinates calendar availability for Senior Vice President Office. Is able to check availability of staff for meetings but all scheduling directly on calendars is done by Executive Assistants. Maintains calendars for conference meeting rooms, schedules directly on calendar as request become known. Scheduled visitors to use the SVP parking spot for meetings.  Greets visitors with parking pass and emails/updates directions as needed.

Expected Salary:

$20.00 per hour

Minimum Requirements:

High school diploma or equivalent and three years of appropriate experience.


Preferred Qualifications:

Proficient in the use of Microsoft Office (Word, Excell, and PowerPoint), Adobe Acrobat., etc.

Experienced in general office procedures and best practices for electronic filing.

Able to operate office equipment, i.e., copier, fax, and computer.
