Job Description:

Must proficiently manage a variety of activities with the Office of Academic Affairs including on-line student registration; coordination of registrar operations within the College of Dentistry; maintenance of academic records for DMD College of Dentistry students and alumni. Coordinates all activities related to student retention, academic progress, and progress towards graduation, Organizes and delegates priorities and operational tasks. Serves as a link between the Office of Academic Affairs and faculty, staff and students. Serves as liaison between the College of Dentistry and the Office of the University Registrar. 

Requests sections numbers/class numbers for all dental courses (DMD and Graduate Education) each semester through Registrar’s Office. Advises Assistant Director and Curriculum Committee on federal, state and university regulations and policies.  Also provides advice about resource management as it relates to curriculum delivery and revision. Resolves problems in coordination and delivery of programs. Submits course and curriculum changes using the UF Approval system for the College of Dentistry (DMD and Graduate Education). Serves as contact person to the Statewide Course Numbering System. Organizes college material and lab fee requests/changes. 

Coordinates utilization and assignment of instructional space; and class and rotation scheduling for all dental classes (1DN-4DN). Projects and reports all term/session dates to the Office of the University Registrar for compliance with state and federal policies.  Maintains the College of Dentistry academic calendar. Builds all class/section offerings for the College of Dentistry (DMD and Graduate Education). Schedules all DMD class activities and rotations, including people, date, time, location, and delivery method. Oversees schedule conflicts in the college’s various curriculum management systems and clinical scheduling system. 

Responsible for all budgets and budgetary issues for the Office of Academic Affairs (including Curriculum & Instruction) to include state, AEF and foundation accounts. To include payment of all invoices, generation of purchase orders, procurement of equipment and supplies and monthly balancing of accounts. Verifies P card purchases and approves, as appropriate. Must be knowledgeable and up to date regarding relevant University of Florida policies and procedures in this area. 

Serves as college grade coordinator; authorizes, provides resources and semester grading windows to departmental grade coordinators each semester and verifies all courses are graded in the University’s Grade-A-Gator system prior to deadline for college DMD and Advanced and Graduate Education students. Advises faculty, staff, students and administrators regarding university policies relative to this function. Maintains education-related affiliation agreements and externship application process.

Works directly with external agencies including colleges and universities on all educational affiliation agreements. Responsible for contracting process from initiation to execution for all education affiliation agreements. Works directly with the VPHA Contracts Office on such agreements and provides copies of final executed agreements to finance team for the files. Serves as college point of contact for students regarding state dental licensure registration and reporting. Coordinates annual CODA/ADA Survey of Dental Schools, DAT Survey, ADEA Senior Survey and biannual Survey of Curriculum. Input results of survey to ADA data reporting process. Assist with the Office of Advocacy and Inclusion Summer Health Professions Education Program: Dentistry, Assist with Commission on Dental Accreditation (CODA) documentation review. 

Monitor and verify completion of departmental Academic Activities Reporting (AAR) by deadlines each semester. Serves as backup for departmental staff as needed. 

Position is responsible for all personnel issues within the Office of Academic Affairs to payroll distribution, meeting payroll deadlines and assurance that all payroll is approved in a timely manner. 

Serves as an expert in academic records systems and assists data analyst with access and interpretation of data. Assists with exploring and recommending new systems and procedures to streamline all activities in the Office of Academic Affairs. 

Expected Salary:

$65,000 - $75,000

Minimum Requirements: Masters degree in an appropriate area and two years of relevant experience; or a bachelors degree in an appropriate area and four years of relevant experience.
Preferred Qualifications:

A high level of project management ability, organizational expertise, problem solving, prioritizing, and negotiating. The individual must be skillful and effective when collaborating with administrators, faculty, students and staff. Must have excellent writing and verbal skills. Must be able to interpret pertinent laws, regulations, and University policies regarding the registration of students, maintenance of student records and issuance of grade, as they evolve and change.

Works well in a team environment. Ability to prioritize and multitask. Familiar with OneUF or other similar student information systems. Proficient in Microsoft programs, Google Drive Applications and Course Management Systems.
