Job Description:

The Human Resources Assistant is primarily responsible for assisting in the management of all aspects of the staff and unpaid appointments, from recruitment and staffing to renewals and terminations. As part of the administrative team, this position will also aid in processing salary and job data adjustments and special projects related to personnel, salary, and payroll. The HR Assistant will also assist with and serve as a back-up for processing payroll and leave for all divisions of the Department of Health Outcomes and Biomedical Informatics. Additionally, the incumbent will serve as administrative support for the department’s human resources team, which includes ensuring the completion of mandatory training and other miscellaneous administrative tasks.

Duties Include:

Recruitment and Personnel Responsibilities:                                                                                                  • As part of the department’s HR team, the primary responsibilities are assisting in the management of all aspects of the human resources for a large research department:
• Collecting information to process all staff hires and non-staff hires, such as volunteers, affiliates, and courtesy appointments
• Coordinates and sets up interviews for new hires
• Request background checks, education verifications, and experience verifications
• Process terminations, appointment renewals, and College of Medicine onboarding and offboarding
• Coordinate and prepare Orientation schedules, including setting up calendar appointments, and scheduling Zoom meetings

Serve as a backup or assist with the following tasks:
• Assist HR Generalist II with faculty recruitment, hires, and other personnel tasks
• Assist HR Generalist II and Administrative Specialist I with scheduling official visits including assuring completion of hotel, restaurant, car rental reservations, etc.
• Assist HR Generalist II with processing new, renewal, and continuation tasks for foreign national hires

General Personnel Transactions:
The HR Assistant position will also assist with and serve as a backup for entering time and leave for all faculty in HOBI. These payrolls and leave tasks also include:
• Process FTE changes for all employees
• Process salary changes for all employees
• Process leave cash outs for staff
• Assist HR Generalist II with December leave cash outs, vacation leave balance roll overs, overtime cash outs, tracking UF Homecoming usage, and tracking of professional & continued medical education activities.
• Assist HR Generalist II with auditing leave usage and making corrections as needed
HR Administrative duties:
This position performs a variety of routine administrative tasks in all areas of human resources. These tasks vary and the below list does not cover the full extent of examples.
• Track and monitor all required training for the department annually and communicate with all employees and department affiliates regularly regarding training compliance
• Manage and organize the department HR shared drive
• Assist with the planning of the department’s events
• Miscellaneous tasks such as ordering lunches, flowers, and supplies needed in the Human Resources area
Other administrative, personnel, and payroll duties will be assigned, which include regular cross-training with the HR team members to ensure a full-service Human Resources team to serve the department’s leadership team and all HOBI Employees.
All tasks and duties require regular communication with the Human Resources Generalist II and Manager of Administrative Services, including weekly meetings to discuss progress and the status of tasks.


Expected Salary:

$19 to $21

Minimum Requirements:

High school diploma or equivalent and three years of relevant experience.

Preferred Qualifications:

At least one year of previous Human Resources experience
Knowledge of University of Florida policies and procedures for Personnel and Payroll
Excellent verbal and written communication skills
Ability to manage multiple responsibilities effectively
Ability to prioritize work responsibilities, meeting deadlines with an ability to re-prioritize as needed
Ability to work independently and as part of a team
Ability to lift at least 30 pounds
