The University of Florida, College of Medicine, Department of Community Health and Family Medicine (CHFM) currently seeks a passionate Human Resources Generalist I. Seeks a meticulous and organized individual to join our team, focusing on Hiring and Personnel Responsibilities at CHFM. In this pivotal role, you will oversee the end-to-end hiring process for all paid employees, ensuring seamless coordination from offer letters to notarization. From executing background checks to managing College of Medicine onboarding, your duties extend to processing credentialing appointments and supporting HR Manager directives, such as assisting with Family Medicine Resident onboarding. Additionally, you will manage general personnel transactions, including FTE changes, salary adjustments, and terminations. Your proactive approach will drive process enhancements, contributing to the efficiency of our Human Resources department. Hiring and Personnel Responsibilities:

  • Process hires for all paid employees of CHFM, including issuing letters of offer, collecting paperwork, coordinating Health Clearances, scheduling Notarization of paperwork, and managing all aspects of the hiring process.
  • Conduct background checks and verify education and experience.
  • Handle College of Medicine onboarding and offboarding.
  • Coordinate Benefits presentations with College of Medicine (COM) Benefits Specialists.
  • Arrange staff Orientation schedules, including setting up calendar appointments and scheduling Zoom meetings.
  • Manage Credentialing appointments, reappointments, and Medical Staff requirements for all clinical appointments.
  • Assist with onboarding Family Medicine Residents as directed by the HR Manager.
  • Independently work to streamline hiring, onboarding, and related materials processes.

Serve as a backup or assist with the following tasks:

  • Assist the HR Manager with the annual training license renewal process for Family Medicine Residents.
  • Aid the HR Manager in processing new, renewal, and continuation tasks for foreign national Residents.

Managing all hiring and personnel responsibilities requires staying up-to-date on processes, policies, system changes and upgrades, best practices, and departmental and College of Medicine practices.

General Personnel Transactions:

  • Process FTE changes as necessary, including communicating with employees, leadership, and benefits throughout.
  • Handle salary changes, including Special Pay Increases (SPI) for extra duties, equity adjustments, temporary extra duties, etc.
  • Manage other personnel changes, such as departmental assignments and supervisor changes.
  • Manage terminations and retirements, including communication with COM.

Managing all personnel transactions requires staying abreast of processes, policies, and system changes and staying up-to-date on best practices and departmental and College of Medicine practices.

HR Administrative duties:

This position performs various routine administrative tasks in all areas of human resources. Tasks include but are not limited to:

  • Managing the department’s electronic personnel shadow files as hires, changes, and terminations occur.
  • Assisting with planning the department’s annual events, such as Administrative Retreats, farewells & retirement events.
  • Handling miscellaneous tasks as needed, such as ordering lunches, flowers, and supplies for the Human Resources area.

Other administrative, personnel, and payroll duties will be assigned, including regular cross-training with HR team members to ensure a full-service Human Resources department that serves the department’s leadership team and all CHFM employees.

All tasks and duties require regular communication with the Human Resources Manager, including scheduled meetings to discuss progress and task statuses.

The schedule for this position could be adjusted to accommodate the candidate's needs. The typical schedule is Monday through Friday, from 8:00 a.m. to 5:00 p.m., with occasional early meetings starting at 7:00 a.m. Additionally, after-hours work may be required for special events two to three times yearly. After six months of employment, there is potential for one day of remote work per week.

Expected Salary:

The starting salary range is $21.90 - $24.30 per hour, commensurate with experience.

Minimum Requirements:

A bachelor’s degree in an appropriate area of specialization or an equivalent combination of education and experience. In other words: your education and work experience should total at least four years.

Preferred Qualifications:
  • Minimum of two years of prior Human Resources experience
  • Knowledge of University of Florida policies and procedures for Personnel and Payroll
  • Strong verbal and written communication skills
  • Effective management of multiple responsibilities
  • Proven ability to prioritize tasks and meet deadlines, with flexibility to adjust as needed
  • Capability to work both independently and collaboratively within a team
  • Adaptability to evolving environments and adherence to changing policies and procedures
  • Demonstrated analytical thinking for decision-making
  • Skill in adjusting communication style based on audience
  • Ability to be an organized self-starter
  • Comfortable leading professional meetings with Faculty
  • Ability to manage multiple priorities simultaneously while adhering to deadlines
