Job Description:

The Department of Biology is seeking a Fiscal Assistant I. This position is responsible for compiling fiscal data and clerical accounting tasks for the Biology department.58 The Biology Department is a large research department composed of 40 faculty and 138 graduate students. The department also houses greenhouses for teaching and research, one stockroom for use by graduate students, staff and faculty for teaching and research.

  • Grants – reconciliation/ account analysis of contracts and grants to insure expenses are allocated according to federal, state and the university’s rules and regulations.
  • PCard – reconciliation/approver and responsible for monthly reports.  Responsible for receiving all invoices, packing slips and ensuring payment is made from appropriate sources on a daily basis.
  • M&S lab fee – post details of transactions into ledger, monitoring balances. Assist in review of course fees and preparation of documents.
  • Process purchase requisitions for department, verifying that they are within the guidelines for the funding agency and follow UF guidelines.
  • Purchase goods and services for faculty/staff, and process the MyUFMarket shopping cart orders, while following UF guidelines.
  • Travel - Create TA’s for department; verify all travel charges are made in accordance with state and Grant agency guidelines.  Create Expense Reports for all travelers.
  • Prepare routine fiscal reports listing account balance and transactions as needed.

Advertised Salary:  

The salary range $14.00 - $16.76 per hour, commensurate with qualifications and experience.

Minimum Requirements:

High school diploma or equivalent and one year of general accounts transaction experience. Appropriate college course work or vocational/technical training may substitute at an equivalent rate for the required experience..

Preferred Qualifications:
  • Proficient with MS Excel, experience with PeopleSoft preferred.
  • Ability to communicate effectively with with individuals at all levels of responsibility.  
  • Ability to learn/comprehend effectively how UF's PeopleSoft financial accounting system operates and to utilize Enterprise Reporting.
  • Knowledge of State of Florida and University of Florida purchasing, payroll, and personnel procedures rules and practices.
  • Knowledge of general office procedures and practices.
