Job Description:

The Department of Chemistry is seeking an Accountant I. This position is primarily responsible for various accounting functions related to the Department of Chemistry’s cash-based accounts, including state-appropriated funds, auxiliaries, centers, IDC, Foundation, miscellaneous, and startup funding. Duties and responsibilities include, but are not limited to:

Procurement

  • Processes requisitions through the myUF Marketplace.
  • Utilizes a UF Purchasing Card (PCard) to order supplies, etc. that are not in the marketplace.
  • Verifies and approves PCards for other members of the department.
  • Reviews each purchase for accuracy and adherence to UF policy.
  • Maintains personal contact with Finance and Accounting, Procurement, outside suppliers, and other UF departments regarding payments, orders, change notices, shipping errors, and shortages.
  • Acts as a liaison between the department faculty, CLAS, and Procurement in processing requisitions for major equipment.
  • Pay invoices or close POs in the marketplace as needed.

Reconciliation and transaction review

  • Reconciles and reviews cash based accounts each month.
  • Utilizes Enterprise Analytics to download transactions into the Excel review file for various accounts, ensuring the balances match the delivered monthly reports in Enterprise Analytics.
  • Tracks and categorizes expenditures by flex codes and/or UFID in the Excel review files.
  • Utilizes myUFL to check account balances and research transactions.
  • Completes journal entries (E2E) to correct any mistakes in transactions, either expenses on the wrong chartfield, account code errors, etc. May occasionally complete journal entries (ONL) to transfer funds.
  • Assists Accounting Manager with researching and responding to internal and external audits.

Departmental Auxiliary Support

  • Utilizes the spreadsheet journal upload to process a journal entry (E2R) for the Stockroom Billing each month. Additionally, completes billing for other shops and auxiliaries as needed, including the Machine Shop.
  • Update the Stockroom grant list bi-weekly.
  • Assists the accounting manager with completing the stockroom auxiliary rate review and verifying that the rates charged to grants are consistent with university policies.

Material & Supply Fees/ Equipment Use Fees

  • Responsible for maintaining the Material & Supply Fees and Equipment Use Fees that are charged to students enrolled in Chemistry classes and labs. The fees must be reviewed for accuracy and recertified through PeopleSoft each semester. Incumbent works with faculty and lab members to update the equipment and supplies lists required to successfully run Chemistry labs. These lists form the basis of the M&S and EUF fees.
  • Compiles and analyzes historical, anticipated revenue, and expense data for revenue and expense projections related to student fees.
  • Completes Zeno billing regularly to charge printing expenses to student fee accounts.

Various Duties

  • Department Security Administrator (DSA) maintains the security roles for the department and processes requests for additional/revised roles.
  • Assists employees in obtaining PCards and cancellation of PCards when employees leave.
  • Runs the PCard aging report every Monday and distributes to departmental staff for compliance with approval of PCards within 15 days.
  • Completes the Centers and Institutes reports yearly, summarizing the expenditures of Chemistry’s centers, utilizing monthly delivered reports from Enterprise Analytics.
  • Processes scholarships by completing a journal entry to transfer funds to the scholarship chartfield and then submitting the scholarship in myUFL.
  • Processes all household and lab moves for newly hired Faculty. Enters purchase orders for moving companies and submits reimbursements to Payroll and Tax services for processing expenses paid for directly by the Faculty in association with their move.
  • Assists Accounting Manager with the Annual Endowment Report Fund Impact Questionnaires submitted yearly online to the Foundation.
  • Additional duties as assigned by the Accounting Manager.

Expected Salary:

The salary range is $19.50 - $23.00 per hour, commensurate with qualifications and experience.

Minimum Requirements:

A bachelor’s degree in an appropriate area of specialization.

Preferred Qualifications:

Proficiency with the myUFL (PeopleSoft) system highly desired.

Competent user of Microsoft Office Suite with demonstrated advanced Excel skills highly preferred, including the creation of pivot tables.

Experience with Enterprise Analytics (or formerly Enterprise Reporting) a plus.

Particularly attentive to accuracy and attention to detail.

Coursework in accounting is desirable.

Excellent aptitude for math and good written and verbal communication skills are needed.

Demonstrated ability to interact with people of varying educations and backgrounds preferred.
