Contract type: Permanent, full time (the role offers flexible working with some site days required per week)

Salary: Grade 5, £45,000 – £49,922 (depending on skills and experience). This role attracts a £3,000 on call allowance in addition to salary. 

Working arrangements: Full time 35 hours per week between 8am and 6pm. Flexible/hybrid working patterns are available.

About the role

The Property Services department at the RCP has an exciting opportunity for an Assistant Workplace Manager to join their team. With a prestigious 95,000ft² estate located in the heart of Regents Park, the role of the Workplace Manager – Technical Services, involves supporting the estates occupants at the Royal College of Physicians including staff and visitors to the RCP and ensuring the estate remains safe, compliant, fit for purpose and flexible to meet changing demands through delivering  excellent knowledge of building fabric, plant and equipment to enhance the user experience and be a focal point of contact and communication to colleagues, stakeholders and suppliers.

Responsibilities will include:

  • Supporting the Head of Workplace in managing the 3rd party Contracts and act as main interface between them and the Head of Workplace
  • Input into the performance of the KPI’s and main service agreements that exist within the contract.
  • Requesting and reviewing quotations with our FM provider and third-party supply partners for plant and infrastructure repairs/maintenance to ensure best value is met.
  • Reviewing costs and ongoing agreements within the service contract
  • Ensuring we get added value from the contract by focusing on new ways of working.
  • Overseeing and manage compliance issues within the Regents Park Estate
  • Ensuring ongoing planned maintenance activities are undertaken efficiently by our FM provider to maintain legislative compliance.
  • Managing and overseeing plant and infrastructure, reporting issues, and ensuring repairs are made within agreed timescales.
  • Being a Liaison with H & S to ensure all compliance issues are being managed.
  • Supporting the Head of Workplace in developing a comprehensive maintenance plan for the estate.
  • Managing the delivery of a comprehensive maintenance plan for the estate within the remit of the role and driving it forward to ensure best practice is observed.
  • Monitoring and reviewing the plan within the requirements of the organisation to ensure we are driving efficiencies and improvements throughout the estate
  • Benchmarking the plan against industry best practice as well as drawing on experience in a similar environment.

About you

We are looking for a highly organised, technically proficient, solutions focussed individual with a commitment to quality who has experience in a similar role. You will need outstanding organisational skills and the ability to liaise and communicate confidently with a range of people at all levels. Experience of planning and working to deadlines, using your initiative, and working flexibly as a member of a busy team located over two sites are also essential qualities.

About the Property Services Department

The Property Services estates team has evolved in recent years in line with the changing face of modern estates management and have successfully introduced working practices including new ways of working integrating the latest communications technology and space management to improve workplace efficiency. The executive board of the RCP are committed to ensuring a programme of continued investment in the estates infrastructure as well as introducing modern working environments for employees. With this in mind the Property team are committed to delivering a long-term estates strategy to provide an attractive and modern environment in London and Liverpool.

With a grade 1 listed estate footprint in London covering approximately 95,000ft², coupled with this exciting new project recently opened in Liverpool called the Spine, the Property department process a high volume of customer service requests per week and manage numerous small works, major and minor projects to ensure the built environment remains safe, compliant, fit for purpose. The team takes a flexible approach to meet changing stakeholder demands. The department has also pioneered new flexible working processes and a purchase ordering and software platform in recent years.
