St Catharine's College seeks to appoint an Undergraduate Administrator to work in our Tutorial Team. The main focus of the role is to support the Senior Tutor, undergraduate Tutors, Directors of Studies and the Tutorial Office Manager in providing academic and financial support for undergraduate students throughout the academic year, in particular to examination, to improve provision, service and outcomes. The postholder will be a significant member of the Tutorial Team, possessing excellent organisational and communication skills. They will work with the other Team members to ensure that all matters that arrive in the office are dealt with accurately and quickly. The postholder will work across departments, such as Catering, Conferencing and the Development team to ensure that Tutorial Events are delivered successfully.
We are looking for someone who is an excellent administrator and is able to apply and review processes to ensure they are efficient and suitable to support a busy team.
Main duties and responsibilities
Academic Support (Tutors and Directors of Studies)
- To provide administrative support to undergraduate Tutors with enquiries made on behalf of their Tutees
- Maintain the College’s Tutorial list throughout the academic year and update it with changes as and when appropriate.
Examinations
- Administer and be responsible for all arrangements in connection with College examinations during the whole academic year, including the recruitment, supervision, organisation and payment of invigilators.
- Manage January Mock examinations in consultation with DoS, arranging rooms and invigilators.
- Ensure that all appropriate students are enrolled correctly for the September resits and submit enrolment correction forms for adjustments.
Graduation
- Lead on all General Admission arrangements
- Liaise with the Praelector and the Tutorial team to plan and organise all events that surround graduation ceremonies within the University. This will involve direct working with the Central University Registry and maintaining good working relationships with the College’s Catering, Finance and Accommodation Departments.
Student Support and Records
- Act as first point of contact for all queries on undergraduate tutorial matters and University admin procedures. Liaise with other departments within and outside of the College, and support undergraduate students and academics, as needed.
- Maintain and update the CamSIS and other relevant student databases of all student details, including tracking exam entries and results, degrees, Tutors, Directors of Studies, course codes, supervisors (on CamCORS), scholarships, nationality, etc.
Supervisions
- To support the Tutorial Office Manager with the administration of supervision reports in CamCORS and supervisors’ payment arrangements
Undergraduate Intake
- Responsible for the administrative preparation for matriculation and other academic student administration; matriculation photo, and to provide support with meetings and logistics.
Other
- Deal with general enquiries.
- Provide accurate and timely information and guidelines to students, Tutors, Supervisors and others as appropriate.
- Assist in updating the College’s websites relating to undergraduate affairs and student handbooks and guides.

Working arrangements and salary
This is a permanent appointment (subject to a 3-month probation period).
Competitive salary range of £35, 000 - £40, 000 per annum, depending on skills and experience.
This role is 37.5 hours per week, core hours will be 10am-4pm.
