Position Details

Location: University of Birmingham, Edgbaston, Birmingham UK
Full time starting salary is normally in the range £27,924 to £30,497, with potential progression once in post to £34,304  
Grade 6
Full Time/Fixed Term Contract up to 2 Years

Role Summary

The goal of the UK PSC Project is to provide a platform in which the characteristics of patients with the rare liver disease Primary Sclerosing Cholangitis (PSC) are studied in great depth, from which new treatments can be developed and implemented. By improving our scientific understanding of PSC, we can help develop new drugs to better protect against toxic bile, reduce inflammation, and resolve liver scarring. The UK PSC Project Manager will largely be required to work independently on your own initiative, through the application of relevant knowledge, skills and experience. You will be responsible for developing and implementing systems for project management of the UK PSC Study, supported by the UK PSC Data Manager.
The postholder will build significant links with consortium partners providing an efficient operational base for the effective project management and administration of UK PSC by Birmingham and its partners, to ensure delivery of the project and its outputs within the timetable set out by the study funder. The post requires someone with the skills and organisational drive to ensure the smooth running and delivery of the project. This post would be suitable for someone with previous clinical study project management experience.

Main Duties

Specific duties will include the following:-
•    To co-ordinate delivery of the UK PSC Study, including all study logistics, supported by the UK PSC Data Manager and colleagues at the sponsor institution.
•    To lead on study recruitment at over 140 approved NHS Trusts and health boards, to maximise recruitment, support new site set-up and ensure adherence to Good Clinical Practice regulations.
•    To develop systems for high quality study data management, including the new online study database, to oversee their implementation, and conduct regular data quality assurance activities.
•    To line manage the UK PSC Data Manager, training him/her on study standard operating processes that are in accordance with GCP regulations.
•    To collect information and prepare regular progress reports, collating and maintaining all required reporting information on an ongoing basis.
•    To co-ordinate UK PSC Steering Group activities, administering and minuting committee meetings, and seeking members’ input into UK PSC strategic planning. 
•    To provide a secretariat service to the committees of other UK PSC badged initiatives.
•    To administer the project budget efficiently (currently £190,000 over 2.5 years), monitoring all expenditure and ensuring adherence to funder regulations.
•    To negotiate with suppliers, co-ordinate the review of any associated agreements, and place orders for goods required to deliver the project, in accordance with the College’s financial procedures.
•    To prepare ethical approval applications and amendments, planning their scope with the Chief Investigator, writing and editing documentation and supporting study sites with review and implementation.
•    To devise and deliver effective stakeholder communication activities, including project newsletters and the study website, to disseminate key messages and build awareness of the UK PSC Study.
•    To act as the focal point for communication regarding the project for both internal and external contacts.
•    To manage correspondence relating to the UK PSC consortium, prioritising actions and matters which require immediate attention.
•    To oversee the organisation of UK PSC meetings and other events including authorising expenditure and invoices, contacting invitees, preparing conference materials, timetables for delegates and invited speakers
•    To provide accurate and succinct records of the project and to proactively engage with the project partners to resolve any issues or challenges encountered.
•    To liaise with the relevant internal and external staff to ensure effective management of the project.
•    To establish and maintain an electronic and paper filing system for all formal project management and any associated documents, including maintaining and updating a list of key contacts.
•    To track project progress and complete formal reporting requirements of the funder
•    To carry out general admin duties for which there are established procedures
•    Any other duties commensurate with the grade of post

Knowledge, Skills, Qualifications and Experience Required

•    Degree level (or equivalent experience) education.
Trial coordinator / science graduate or equivalent professional with experience of providing project management and administrative support to a senior member of staff.
•    Experience of managing projects with multiple stakeholders, communicating key milestones and monitoring delivery.
•    Experience of preparing and controlling budgets for projects
•    Excellent oral and written communication skills and ability to communicate with confidence and discretion with a wide range of people at all levels including staff, external contacts and patient support and PPI groups.
•    Experience of staff supervision.
•    Knowledge of the requirements of Good Clinical Practice to ensure all project related activities are run in line with the Standard Operating Procedures (SOPs), the relevant EU Directives and UK legislation.
•    Good team working skills
•    Excellent attention to detail and organisational and interpersonal skills.
•    Flexibility to take on a wide variety of tasks as necessary.
•    An ability to work proactively, with little supervision, under pressure and to deadlines.
•    An ability to use own judgement to resolve problems and to make decisions on own initiative.
•    An ability to deal with people and organisations at all levels.
•    Ability to manage own workload and keep to deadlines, working flexibly where necessary.
•    Ability to prioritise and handle many competing demands.
•    Excellent IT skills in Microsoft office and related packages. The postholder should also be confident and willing to quickly learn new software packages.
•    Ability to create, maintain and manipulate complex spreadsheets and to understand and interpret the information contained in them.
Good office management skills.
•    Ability and confidence to identify potential problems, propose solutions and make decisions on own initiative.
•    The ability to take accurate notes is essential.
•    Ability to meet the travel needs of the post, which involves setting up multiple sites for the project.
•    Knowledge of the protected characteristics of the Equality Act 2010, and how to actively ensure in day to day activity in own area that those with protected characteristics are treated equally and fairly.
