Job description

The role consists in supporting the Strand Campus Project Team in delivering a variety of small to medium-sized projects throughout the campus by providing administration and project coordination support.

In addition to the above, the individual will carry out small projects of non-technical nature under the guidance of other project managers.

The post holder will report to the Programme Manager – Strand Campus, and will be l have a primary location at the Strand Campus.

This is a full-time and permanent post


Key responsibilities

Administration/Clerical/PMO

  • Support the Programme Manager in ensuring the Strand Campus Project (SPC) team comply with internal and external processes. 
  • Aid in regular project reporting within SCP, E&F and College-wide platforms by collecting and editing information from projects team. 
  • Support the Programme Manager in ensuring that the project team’s electronic project directories are kept up to date. 
  • Assist in processing projects’ financial documentation such as placing and expediting orders, invoices/recharges, and support to reconcile the SCP’s project budgets at year end. 
  • Work with the SCP team in undertaking research as and when needed for the preparation of reports and bill writing. 
  • Support the Programme Manager in the administration for the team e.g., holiday planning, recruitment, workload forecasting and timesheet updates. 
  • Support the Programme Manager in the implementation of innovative processes aiming at streamlining workload and increase efficiency. 
  • Gain familiarity with technical language/jargon/lexicon to better support the projects team in their daily activities. 
  • Undertake and delivery minor projects and projects of a non-construction nature, including project-related moves, installation of furniture etc. 
  • Support SCP team with more complex projects under the direct guidance/supervision of another project manager.  
  • Assist the SCP team in snagging by editing documentation (such as I-Auditor snagging app) and follow up/tracking progress. 

The above list of responsibilities may not be exhaustive, and the post holder will be required to undertake such tasks and responsibilities as may reasonably be expected within the scope and grading of the post.


Skills, knowledge, and experience 

Essential criteria  

1.       Excellent organizational skills with a meticulous eye for detail. 

2.       Self-motivated, self-starter and able to work effectively and independently. 

3.       Computer literate with knowledge of Microsoft operating systems, particularly Word, Excel and be conversant with collaborative platforms such as Sharepoint, One drive etc. 

4.       Excellent oral & written communication, with good numeracy and report writing skills. 

5.       Good time management skills and able to set/meet deadlines for themselves and others. 

6.       Inspires confidence, motivation and acts as a team player when managing various disciplines and skills. 

7.       Professional and positive approach to work. 

Desirable criteria

1.       Interest in the construction industry and the build environment. 

2.       Understanding of H&S and preferably with IOSH/NEBOSH qualification. 

3.       Interest in delivering a more sustainable College environment. 

4.       Understanding of KCL’s 2029 vision and its drivers.
