Job Description

  • Assist with faculty recruitment exercise, including processing of applications, collating job packets, management of applications database, preparation of hardcopy applications for review meetings, attending to economics cv mailbox, enquiries and scheduling of interviews.
  • Handle job visit arrangements including booking of hotel accommodations, airport transfers, assist with the scheduling, job talk preparations and logistical arrangements for job candidates.
  • Process reimbursements and claims, and updating of expense tracking reports, upon conclusion of job visits.
  • Assist with faculty administration including processing of financial support applications and entry of travel records in SAP Travel Manager (TM) for conference and research travel.
  • Process reimbursements and claims for DART expenses, and updating of expense tracking reports.
  • Collate unused DART amounts to be donated to SOE Scholarship fund or other SOE funds.
  • Assist in employment pass, work pass and visa applications, e-notification declaration and cancellations for academic visitors and job candidates.
  • Assist with preparations for academic visitors, including checking for flight itinerary, preparation of Invitation Letters, booking of accommodations, processing of reimbursements, payments to hotel upon receipt of invoices, reimbursement meals hosted by faculty, updating expenditure database and processing of reimbursements to visitors.
  • Process all faculty, job visits, visitors’ reimbursements, claims, TMs before the financial year-end which closes in March.
  • Assist in the preparation and filing of grant award and rejection letters for Tier 1.
  • Keep a proper filing of all financial records.
  • Handle the administration of all internal and external research grants (Tier 1) including purchase of approved research data and supplies, hiring of research assistants, request for virement of funds, projection extension requests and project closure. This includes the updating of the expenses and relevant documents in the current Research Grant System.
  • Provide administrative support to Assistant Dean and Assistant Director.Stand-in for Dean’s PA and Manager during their absences.
  • Other administrative and operational tasks as assigned by Management.

Qualifications

  • Diploma holder with minimum 3 years of working experience.
  • University degree preferred.
  • Preferably 2 years administrative experience in academic environment.
  • Excellent organizational skills and resourceful.
  • Knowledge in SAP will be advantageous.
  • Ability to troubleshoot and problem-solve in a reasonable capacity.
  • Demonstrates interest in learning and performing new assignments.
  • IT savvy with knowledge of Microsoft applications
  • Has initiative and the ability to multi-task.
  • Pleasant and cheerful disposition; able to communicate effectively with all levels of people.
  • A team player and able to work independently.

Other Information

Candidates who do not possess the stipulated qualifications but have relevant work experience may still apply. Remuneration and appointment terms shall commensurate with qualifications and experience. SMU reserves the right to modify the appointment terms where necessary.
