School Research Support Administrator

Job Purpose

The School Research Support Administrator role provides a range of administrative support for Schools within the College of Social Sciences. As a member of the College Research Support team, the Research Support Administrator will work in partnership with colleagues across the School, College, University and other external partners. The post is the front-line point of contact for and will work closely with School Research Directors and other School research leads to deliver efficient and effective administrative support on initiatives that operationalise School research and scholarship strategy. The Research Support Administrator will work within a team that creates excellent relationships to ascertain and deliver the administrative needs of School research-related activities.

The post holder will have strong general administrative skills and will work to and uphold administrative processes and procedures for the School in line with College and University policies. The role will be supervised by the Admin Hub Manager who is line managed through the College Research Operations Manager.

Main Duties and Responsibilities

1.  Work closely with School Research Directors and Research Committees to provide Professional Services support and expertise at School level for the operationalisation of School research and scholarship strategy.

2. Support School Research Director and Research Committee, and working with College RSO and central R&I, with the creation and implementation of a research & scholarship School culture development programme.

3. Manage internal applications for School funding, including funding allocations and claims. Co-ordinate timing with College RSO. Operational tracking of progress of projects and outputs against strategic priorities and KPIs.

4. Support Research Director with managing the funding for international collaborations and working closely with School Internationalisation Director.

5. Support School Publications Champion on internal peer review of outputs. Support pre-publication reviewing process, and regular REF output reviews. Liaise with Library to support staff in accessing open access requirements for publication and maintain School level records regarding open access compliance. Provision of data extraction and analysis from research output management system (Enlighten) to support School output strategy.

6. Record and maintain School level research support data to enable overview of staff activity on a YoY basis, including managing of internal funding allocations and related outputs. Includes developing and maintaining detailed information on staff indicators of esteem to support research, accreditation, and internationalisation priorities.

7. Managing study leave pipeline, applications and monitoring outputs. Liaise with School Resource Planning Manager to ensure study leave is captured on the WLM. Process provides a School overview of who will be undertaking study leave and when, any associated funding, as well as proposed outputs.

8. General support for School Research Director, including the organisation of meeting and writing retreats, preparation of papers, and clerking meetings. Track progress and provide updates on a range of internal School activities and initiatives (pump priming, study leave applications, etc). Support periodic review of School research performance (in widest context) against strategic priorities, as well as supporting Research Director with completion of annual Strategic Planning Report (SPR), Research Centres review (non-funded) etc.

9. Clerk School Research Committee, producing regular reports on internal School progress against KPIs, collating data from College to input to regular reports.

10. Update School website information through T4 or other web content management systems.

11. Organise and promote School research seminars and research events including external guest speakers. Assist in public relations, communications, room and catering bookings and marketing.

12. Any other relevant administrative duties as deemed required by the Research Operations Manager/School Research Director.

Knowledge, Qualifications, Skills and Experience

Knowledge/Qualifications

Essential: 

A1 Ability to demonstrate the competencies required to undertake the duties associated with this level of post having acquired the necessary knowledge and skills in a similar role. OR Scottish Credit and Qualification Framework level 7 (Advanced Higher, SVQ 3, HNC or equivalent), and experience of personal development in a similar role.

A2 Practice-based knowledge of establishing and delivering a comprehensive range of administrative services within a project or team environment.

A3 Knowledge of governance and business processes in a large complex organisation.

A4 Knowledge of process improvement.

Desirable:

B1 Knowledge of research support administration in Higher Education institutions or a similar environment.

Skills

Experience 

Essential:

E1 Extensive demonstrable relevant administrative experience or, without relevant qualifications, evidence of progression and development gained through relevant work experience in a busy office environment.

E2 Demonstrable experience of working with a variety of stakeholders and taking ideas forward into practical action plans.

E3 Significant experience of working in a highly administrative and governance driven environment.

E4 Experience of organising events/meetings.

E5 Experience of working with financial information sufficient to analyse financial data and transactions, monitor budgets and report financial details.

Desirable:

F1 Previous experience of supporting/advising academic staff.

Terms and Conditions

Salary will be Grade 5, £25,138 - £29,605 per annum.

This post is full time (35 hours per week) and open ended.
