The Department and role purpose    

The Faculty of Arts & Humanities is nationally and globally leading, ranked in the top 20 in the world by the THE World University Rankings. It has an ambitious vision to further develop in its ability to deliver world-class education and research.

The successful applicant will be a member of the Faculty of Arts & Humanities Research Team supporting the research environment in departments across the Faculty.  The post holder will work closely with the Senior Research Administrators, the Deputy Executive Dean for Research and key staff in departments. 

Responsibilities will include: managing research processes including research leave and funding competitions; supporting department and research centre activities and events, organising and minuting meetings, contributing to process improvement projects etc.   

The successful candidate must be able to work independently; act effectively on their own initiative; have an excellent personal manner; and keep calm under pressure. The post holder must liaise confidently with staff at all levels throughout the University both orally and in writing.


This is an excellent opportunity that involves collaborating with a small team and involvement in a wide range of activities including project work.  

Core responsibilities:

  • Provide a responsive and proactive support service for stakeholders, particularly academic and research staff, students, visitors and also external collaborators.
  • Focus on checking stakeholder requirements to ensure the delivery of excellence with the frontline stakeholder experience.
  • Respond to service users answering and recording standard queries and bookings for activities and/or events.
  • Contribute to the planning of team activities, work and deadlines to ensure the smooth running and timeliness of service.
  • Solve day-to-day routine problems and source background information within the role.
  • Record data and information accurately and provide reports as required to team members and more experienced staff.
  • Process requests, finding solutions or escalating queries where necessary.
  • Be flexible in approach to accommodate the needs of team members and/or service users.
  • Assist team members to organise, plan and prepare for events, meetings and activities.
  • Liaise with internal and external suppliers, contractors and professional specialists to pass on information.
  • Apply professional and regulatory procedures and processes and use of systems particularly with respect to research activities.
  • Liaise and collaborate with staff in other areas of the organisation to ensure a seamless, smooth and efficient service, including in particular, Research and Innovation Services (RIS), Finance Office etc.
  • Resolve queries and requests for information and advice that may arise with regards to supporting research processes and escalate more specialist and complex queries or issues when needed.

  Role responsibilities:

  • Work with team members to ensure the smooth running of administrative processes within the Faculty and departments and to support people and business activities directed at the delivery of the research strategy.

  • Apply standard professional and recognised regulatory procedures to process, check and reconcile anomalies within data and information sets.

  • Compile, record, store and archive data and information to ensure the accuracy and safety of information.

  • Liaise with representatives from other service areas, professional organisations and agencies where necessary.

  • Use standard office-based digital systems, tools and equipment to carry out data recording, communications and networking.

  • Provide service and support for networks, committees and meetings, to draft and distribute documents and communications in standard professional formats.

  • Process and update key business documentation.

  • Liaise with internal and external collaborators, suppliers and specialists within the organisation to plan and deliver services, activities and events.

  • Make venue, catering, travel and/or equipment arrangements for events, meetings and activities and support induction of new staff and visitors.

  • Be responsible for the collation of data relating to research performance.

  • Undertake activities with minimum supervision.

  • Any other reasonable duties.

Person specification - skills, knowledge, qualifications and experience required  

Essential Criteria

  • Excellent oral and written communication skills.
  • Proven IT skills and the ability to compile and organise data.
  • Five GCSE’s at least Grade C or level four (or equivalent) including English Language and Mathematics (or equivalent experience).
  • Evidence of personal development to develop and maintain skills.
  • Post-16 qualification or equivalent experience
  • Relevant administrative experience in a busy office environment, including meeting organisation and minuting.
  • Ability to provide advice and guidance to a range of customers and colleagues.
  • Experience of working on the front line with service delivery, and the ability to work under pressure and meet tight deadlines without compromising on quality.
