Development and Alumni Relations Office

Location: University of Birmingham, Edgbaston, Birmingham UK

Full time starting salary is normally in the range £27,924 to £30,497, with potential progression once in post to £34,304.

Job summary

Are you looking to develop a career in Regular Giving at a prestigious organisation?

This is a time of significant investment for our individual giving programme, with three posts currently being recruited across Legacy and Regular Giving, with ambitions to grow income from both these streams. The Regular and Digital Giving Officer role is your opportunity to be a part of a dynamic and innovative team and to take our programme to the next level. We are keen to explore ways to grow our programme via crowdfunding, giving days, and by developing a mid-level/leadership giving programme. Our Regular and Digital Giving Officer will play an important role in scoping, piloting, evaluating, and establishing these new strands of income generation.

We are an ambitious and successful research-intensive University (one of the top 100 research-led universities globally) and have produced 10 Nobel Prize winners, including three who received their awards in 2016.  Academics here are tackling some of the world’s most pressing global challenges such as antibody testing and Covid-19, the impact of climate change on our woodlands and forests, issues caused by migration and displacement, the rise in youth mental health issues, and the prevention of needless maternal deaths in the developing world. Our students come from nearly 150 countries and our flagship outreach programmes mean that almost 25% of our student population come from disadvantaged backgrounds, one of the highest proportions in the UK. Philanthropy has always played an important role in shaping the University, most recently in 2015 when we closed the Circles of Influence Campaign, which raised £193 million, making it the largest HE fundraising campaign outside Oxbridge and London. Through the ‘Birmingham In Action’ campaign, philanthropy will continue to play a vital role in delivering projects to change lives locally, nationally, and internationally.

Main duties

Telephone Campaign

  • Responsibility for the day-to-day coordination of the telephone campaign and associated student employees (call room supervisors, student callers), to include setting up the calling shifts and caller rotas, checking statistics, approving call outcomes, and assessing and tracking individual caller performance.

  • Ensure that the above agreed outcomes are delivered on time, effectively and within budget.

  • Create a motivating environment where telephone campaign staff (i.e. student callers) receive ongoing development, coaching, and support, particularly in regards to graduate employability skills.

  • Develop a programme of incentives to inspire student callers and supervisors, including caller of the shift awards and supervisor away days.

  • Assist the Regular Giving Manager with call room supervisor and student caller recruitment and the delivery and coordination of training days, to include room bookings, briefing speakers, and associated administrative tasks.

  • Promote equality and value diversity, acting as a role model and fostering an inclusive working culture.

  • Attend caller training days (2 weekends per year) and caller shifts (occasional evenings) on an ad-hoc basis.

  • Attend weekly meetings with call room supervisors and play an active role in appraising student performance and delivering on-going wellbeing support.

  • Responsibility for follow-up letters and email communications to donors.

  • Act as the first point of contact for incoming donor queries.

  • Ensure that internal finance procedures are adhered to. This will include working closely with the Gift Accounting Team.


Direct Marketing and Digital

  • Assist the Regular Giving Manager with the planning and delivery of direct marketing campaigns, including direct mail, email and digital giving platforms.

  • Proof-read direct mail and online fundraising communications.

  • Identify compelling donor case studies and create impactful digital content for social media and digital giving platforms, including crowdfunding and giving days.

  • Provide bespoke guidance and stewardship for community fundraisers (alumni, staff and students), and administer our Just Giving page and any other digital fundraising platforms.

  • Responsibility for scoping emerging fundraising channels and opportunities, and identifying sector-wide trends.


IT and Data

  • Use of DARO’s CRM system to keep records up to date including recording interactions with alumni and supporters. Ensure that data is recorded to a high-quality standard and in line with relevant policies and regulations.

  • Support the analysis of data collected/produced from Regular Giving programme activity, and act on any trends or recommendations.

  • Understand the relevant charity, Freedom of Information, GDPR and Data Protection legislation.


Required Knowledge, Skills, Qualifications, Experience

Communication and Relationships

  • Strong interpersonal skills and the ability to interact effectively with a wide range of audiences including senior colleagues, donors, alumni, academics, students, and external organisations.

  • The ability to work collaboratively and effectively with other members of DARO and the wider University.

  • Strong verbal and written communication skills including the ability to prepare information and reports.

  • The ability to represent the University to senior prospects and donors in the UK and overseas with confidence, diplomacy, and authority.

  • The ability to manage outgoing communications to a range of audiences.

  • A good track record of building strong relationships and engaging with a variety of stakeholders.

  • Confidence to make a financial ask.

  • Experience of coaching and leading people and programmes of work.

  • Knowledge of the protected characteristics of the Equality Act 2010, and how to actively ensure in day-to-day activity in own area that those with protected characteristics are treated equally and fairly.

IT and Data

  • Good all-round IT skills including competence with all aspects of MS Office (especially Excel), email, the internet and virtual meeting platforms.

  • Experience of working with databases and analysis of large data sets – knowledge of Blackbaud CRM is desirable.

  • Familiarity with managing different digital fundraising platforms.

  • Knowledge of the Direct Debit process is desirable.

  • Awareness of the relevant charity, Freedom of Information, GDPR and Data Protection legislation.

General

  • Educated to degree level or equivalent experience.

  • A passion for and experience of working in a fundraising environment, and eagerness to stay up to date with new and emerging fundraising channels.

  • A demonstrably high level of organisational skills and strong attention to detail.

  • The ability to prioritise own workload and to work under pressure.

  • Personal confidence, independence, and the determination to succeed as an individual and as part of a team.

  • A collaborative team player with the desire to support colleagues in the achievement of their individual and the collective goals, and to celebrate others’ success as positively as your own.

  • The ability to work with initiative, to take decisions and to think creatively and laterally.

  • Experience of coordinating and prioritising multiple projects, events, and/or groups of people.

  • The flexibility to work unsociable hours (evenings and weekends) when required.
