Sport

Durham University is one of Europe’s leading sport universities. In the autumn of 2019 the University completed the construction of a £32m Sports & Wellbeing Park, adding to a prior investment, on the same site, of £8m in 2012. We are proud to have the largest participation programme in the country ‘College Sport’ and our facility is the home to a number of local community clubs and groups.

The role

The individual will be responsible for the administration and co-ordination of all promotional activity relating to the Team Durham sporting programme. The role will assist with the management of sporting events and will pro-actively work to attract high profile events to the new Sport & Wellbeing Centre. There will be focus on the delivery of social media and web content in order to promote the work of the section whilst ensuring a consistent approach is used by all teams.

Core responsibilities:

  • Provide a responsive and proactive support service to Team Durham and College Sport. 
  • Focus on checking stakeholder requirements to ensure the delivery of excellence with the frontline stakeholder experience.
  • Respond to service users answering and recording standard queries and bookings for activities and/or events.
  • Contribute to the planning of an event management plan for the sports facility and to manage this in conjuction with Team Durham staff and clubs to ensure the smooth running and timeliness of service.
  • Solve day-to-day routine problems and source background information within the role.
  • Record data and information accurately and provide reports as required to team members and more experienced staff.
  • Operate a single point of contact for promotional activity and event queries and process requests finding solutions or escalating queries where necessary.
  • Flexible in approach to accommodate the needs of Team Durham sports clubs and the College Sport programme via the development of a volunteer intern programme. 
  • Assist team members to organise, plan and prepare for events and promotional opportunities.
  • Apply professional and regulatory procedures and processes and use of systems.
  • Liaise and collaborate with staff in other areas of the organisation to ensure a seamless, smooth and efficient service.
  • Resolve queries and requests for information and advice and escalate more specialist and complex queries or issues to more experienced team members.

Role responsibilities:

  • Work with team members to ensure the timeliness and relevance of promotional activities and events by developing an annual plan.
  • Apply recognised professional, commercial and/or organisational service level standards to enhance the student and spectator experience. 
  • Provide guidance to sports clubs and staff with the use of and access to promotional opportunities.
  • Liaise with internal and external stakeholders with the organisation, planning and delivery of promotional activities and events.
  • Work with team members and others across the organisation to prepare for the delivery of activities and events.
  • Record, collate, analyse, store and report data and information on the level and uptake of services and quality of experience.
  • Compile, record, store and archive data and information to ensure the accuracy and safety of information.
  • Provide service and support for networks, committees and meetings, to draft and distribute documents and communications in standard professional formats.
  • Any other reasonable duties.

Specific role requirements 

There may be the requirement for working weekends and away from home.

    Person specification - skills, knowledge, qualifications and experience required

    Essential Criteria:

  • Excellent oral and written communication skills.
  • Proven IT skills, including use of Microsoft Office.
  • Five GCSE’s at least Grade C or level four (or equivalent) including English Language and Mathematics (or equivalent experience).
  • Post-16 qualification or equivalent experience.
  • Evidence of personal development to maintain skills.  
  • Experience of working on the front line with service delivery, and the ability to work under pressure and meet tight deadlines without compromising on quality.
  • Relevant experience in a similar role / environment.
  • Experience of working as part of a team in a customer focussed service to ensure the delivery of high quality services.
