An exciting opportunity has arisen for a highly capable individual to manage a portfolio of degree courses at Warwick Business School.
Working within the Masters Group, you will provide leadership for a team that is responsible for delivering a high-quality service to an international student body and academic colleagues. Utilising your exceptional project management skills, you will efficiently manage a complex and high-volume team workload. You will be responsible for the delivery of a range of courses, with teaching largely taking place at Warwick but on occasions also off-campus locations (including overseas) and via our online classroom.
You will have significant management experience at an operational level, which is preferably gained within an HE environment. You will have experience of delivering excellent customer service through effective team working and be able to demonstrate the ability to work effectively in a matrix organisational context.
You will need excellent communication, administrative, organisational, process improvement, change management and staff management skills.
Experience of providing administrative support to Masters level programmes would be advantageous.
Job Description
Job Purpose
To work closely with the programmes’ Associate Dean and to lead an administrative support team to plan, organise and manage the effective delivery of courses in the programme group, ensuring a consistently high-quality service to all stakeholders.
Duties and Responsibilities
• Responsible for all operational aspects of the effective delivery of the group’s programmes to the standards defined by Operations Director in line with the relevant Associate Dean’s vision, School’s strategy and defined management processes.
• Responsible for the operational delivery of a high quality and consistent customer experience throughout the student life cycle (from pre-enrolment to graduation) for all students and programmes within the group, in liaison with the Operations Director (Masters Programmes).
• Responsible for all aspects of students’ administration including managing the maintenance of accurate student records, in accordance with School and University data protocols and monitoring student progression.
• Responsible for organising and coordinating external services associated with programme delivery (e.g. external speakers, booking accommodation).
• Manage the delivery of programme events (induction events, residential seminars for 200+ blended learning students, external tutor training events) and supporting and participating in other events as required (e.g. WBS Forum, graduation, student recruitment events).
• Manage and administer the project and dissertation process, which includes ensuring the availability of sufficient, appropriate projects, supporting students on non-academic issues, administering the assessment process, making accurate and timely payments to supervisors as required.
• Responsible for all operations that support international student exchanges for both incoming and outgoing students, including liaison with partner schools (N.B. only applicable to certain programme groups).
• Lead, manage, motivate and engage the team taking full responsibility for line management i.e. recruitment, disciplinary, grievance, performance management, sickness absence management and appraisals.
• Provide front-line pastoral care and advice to individual students on non-academic issues (e.g. personal and health problems, implications of programme study choice such as temporary withdrawal, implications of grades, resolving examination concerns) and escalate matters which require academic or professional support (e.g. to Course Director, Associate Dean, Personal Tutor or University Student Support Services).
• Responsible for the day to day relationship management with corporate sponsors and ensure compliance with service level agreements, where appropriate (N.B. only applicable to certain programme groups).
• Liaise with the University’s Examinations Office, and collate and distribute marks to students.
• Provide comprehensive administrative support to the Associate Dean in his or her role as Secretary to the Board of Examiners.
• Responsible to the Operations Director for the day-to-day monitoring and management of the relevant delegated Group Operation budget.
• Coordinate and support external tutors who contribute to the delivery of the programmes, which includes raising contracts and making accurate and timely fee payments (N.B. only applicable to certain programme groups).
• Ensure compliance with quality assurance process and coordinate and communicate responses to issues as appropriate (e.g. student feedback mechanism including module/ course surveys and Student - Staff liaison Committee, assessment marking).
• Monitor and report statutory and corporate data to standards defined by the Programmes Quality Manager (e.g. attendance monitory for reporting to the UKBA, ensuring module registration and completion data for reporting HESA, meeting external accreditation requirements).
• Effectively liaise with other masters groups to ensure the efficient use of resources, including the effective timetabling of programmes (e.g. also by identifying complementary peaks and troughs in team work loads).
• Effectively liaise with teams and departments across the School and University in order to achieve the effective delivery of programmes.
