Reports to:  Program Manager - Apprenticeships

Job Title Program Co-ordinator

Working within the Program Team you will provide top quality administration and support to ensure timely and accurate management of all assessment processes, invoicing and communications. Job Description 

Responsibilities include, but are not limited to: 

  • Management and co-ordination of the assessment processes, including but not limited to;
    • Proofing Assignment Briefs and submitting changes for approval as required
    • Monitoring all submissions & resubmissions made, including all project stage submissions
    • Monitoring and updating teams on non submissions
    • Managing and confirming Markers, allocation of marking & marking completion
    • Managing Marking Records and maintaining learner information systems data
    • Providing grades and information for all Assessment Boards
    • Monitoring and recording of Functional Skills engagement - escalating as required
  • Support of academic staff contracting and invoicing
    • Creation and issuing of Work Statements and Faculty Contracts as directed by Line Manager
    • Processing of invoices for accuracy prior to payment, including adjuncts and suppliers
  • . Internal/External Stakeholder Liaison
    • Maintain management of key program mailboxes include Extensions Mailbox
    • Report on learner statistics and apprentice acheivement and provide updates as required
    • Manage issues, in liaison with the apprenticeship operations and support teams
    • actively promoting best practice amongst colleagues, creating noticeable improvements
    • Building effective professional relationships with stakeholders such as Faculty, external Adjuncts, Finance and other internal teams
  • Other Duties
    • Contribute to orientation and programme launch events as required
    • Engage in appropriate professional development activities
    • Maintain awareness of the latest program regulation requirements relating to qualifications
    • Maintain and foster the high reputation of Hult Ashridge in external settings.
    • Any other such reasonable duties as required by the Program Manager
    • Managing ad-hoc internal projects as required from time to time, providing support to the immediate team and wider Hult Ashridge team

Person Description 

  • Experience of the Higher Education sector is preferred
  • A confident user of technology, including the full suite of Microsoft Office and experience of learner information systems such as Canvas and Salesforce would be advantageous
  • Highly organised, plans ahead, showing an attention to detail and able to complete tasks at pace with high order accuracy skills
  • Good communication skills, able to build real relationships
  • Desire for efficiency and constant improvement – asks ‘how can we do this better next time?’ and has ideas and ability to understand, diagnose and identify solutions. 
  • Ability to work independently and be a team player
