Full Time, Fixed Term Contract for 12 months (Maternity Cover)

You will co-ordinate the day-to-day running of WMG’s overseas programmes, including student admissions and module scheduling through to examination boards. Managing the post-module assignment and project process you will process extension requests and publish feedback on assignments to students. You will oversee programme and student management information, including creation and maintenance of student and post-module assignment files and databases.
Qualified to a minimum of A-level standard or equivalent you will ideally hold an honours degree.
You will have previous demonstrable experience in an administrative role, preferably in Higher Education, and have knowledge of overseas programmes and qualifications. With strong communication skills you will be able to work accurately under pressure.

Job Description
JOB PURPOSE:
To co-ordinate the day-to-day running of WMG’s overseas programmes, including module and project co-ordination and scheduling, through to examination boards.
DUTIES AND RESPONSIBILITIES:
1. To manage the post-module assignment & project process and to process changes to registration requests. Taking decisions regarding the priority of incoming work and managing expectations relating to turn around times and processing marking and results. This assessment overview role includes setting up on-line submission Tabula pages, monitoring work submitted by overseas based students, identifying tutors for marking and notifying them when work is submitted. Monitoring and follow-up with tutors for timely return of assessment marks and feedback. Liaise with tutors for module moderation processes annually. Managing the setting and issue of authorised assignment resubmissions, Returning marks and feedback for students to overseas centres for onward distribution. Accuracy is key as the marks are not checked by another individual during this process, unless the post holder identifies an anomaly.
2. To oversee and maintain programme and student management information, including creation and maintenance of student and post-module assignment files and databases, as well as administration control files (including timetables, tutor payments, attendance lists etc). Processing the booking of overseas students on UK modules; checking availability, maintaining a record of each request and issuing invitation letters for each student. To be involved in the development of associated methods and to standardise procedures and course working practices. To contribute to the maintenance, development and communication of sources of information, advice and guidance for all overseas centres and UK tutors.
3. To organise the module scheduling for all overseas programmes, acting as an intermediary between internal and external tutors and the overseas centres. Responsibility for the development of associated methods and standardised procedures and course working practices.
4. To oversee the student project dissertation process, including approving and processing standard applications for ethical approval of project research, and referring non-standard applications for consideration by the Research Ethical Approval Committee.
5. To maintain the overseas programmes website and module Moodle pages (in consultation with module tutors). To create and maintain online Standard Operating Procedure documents in liaison with the Teaching and Learning Officer.
6. To act as PA to the Director of Overseas Programmes and answer queries in his absence (as he is frequently overseas); support Exam Board Secretary and Academic Quality Coordinator in preparing for MSc Exam Board meetings, particularly resolving overseas student issues.
7. To act as Secretary to the Overseas Programmes Committee – which includes reporting on operational matters, taking minutes, overseeing follow-up action, etc.
8. To understand the overseas postgraduate admissions process, and provide cover for the Programme Co-ordinator who would normally carry out these tasks.
