The Role and the Department

This role is permanent and part-time (0.5 FTE), therefore the salary will be pro-rata to the salary shown.  This is an exciting opportunity to join a growing department that pursues research that is world-leading and world-changing and supports innovative research led teaching. The Department’s undergraduate programmes are to be found among the top 10 in national rankings for philosophy (The Guardian, The Complete University Guide and The Times). The Operations Administrator will provide proactive support in working with senior members of the Department, in particular the Head of Department, Department Manager and members of the Senior Management Team. Working within a team under the line management of the Department Manager, the role holder will be expected to undertake administrative tasks and support processes that underpin the delivery of the Department’s Strategy, particularly with respect to teaching, research and related operations. This is an exciting opportunity to join to small, friendly and supportive team with the opportunity to develop your skills in a role that underpins the operations of an academic department.   

In this role, the successful candidate will provide direct support to the Department Manager on a range of operational tasks which typically include:

  • Assisting the Head of Department and Department Manager with HR and operations relations paperwork including onboarding of new staff, probationary paperwork and occupational health referrals 

  • Maintaining Departmental Website and internal staff communications hub

  • Managing the Philosophy Department email account and responding directly to inquiries from both staff and students

  • Processing room bookings, setting up online meetings and coordinating event planning and diaries

  • Assisting staff with expenses claims and supporting the Department Manager with the processing of part-time teaching payment claims

  • Carrying out routine Health and Safety checks and liaising with Estates and Facilities on a range of maintenance issues working with the Health and Safety Officer to maintain a safe working environment

  • Servicing the Diversity and Inclusion Group by providing support with agenda, minutes and meeting documentation for the Committee Chair

Essential Criteria  
   
1.    Excellent oral and written communication skills.  
2.    Good digital skills including experience in using core digital tools including internet, email, digital communication tools, Microsoft 365 applications, digital booking system.
3.    Five GCSE’s at least Grade C or level four (or equivalent) including English Language and Mathematics (or equivalent experience or qualifications). 
4.    Post-16 qualification or equivalent experience.   
5.    Evidence of relevant personal development to maintain skills.  
6.    Relevant administrative experience in a busy office environment.  
7.    Demonstrable ability to provide advice and guidance to a range of customers and colleagues.  
8.    Experience of working on the front line with service delivery, and the ability to work under pressure and meet tight deadlines without compromising on quality.  
9.    Ability to solve problems as part of a team and resolve straightforward issues.    
10.  Experience of working in a team.
