The Role and Department

The role has responsibility for IT Asset Management and is part of the Service Management team, which underpins the delivery of customer focused services supported by efficient processes.

Specifically, the post holder will:

  • Maintain and develop IT asset management processes, tracking IT assets accordingly.
  • Manage the lifecycle of software assets from planning, requests, procurement, approval, deployment, operation/licences and retirement.
  • Oversee the University’s software licence management processes and procedures.
  • Maintain accurate records of IT assets and their renewals (software and hardware).
  • Maintain software standards and a University-wide software catalogue.
  • Maintain a forward outlook of the software budget.

 

The Computing and Information Services (CIS) has an annual operational budget in excess of £12m, multi-million pound programmes of change within year, and approximately 185 staff. The Senior Leadership Team report directly to the Chief Information Officer (CIO) with the following portfolios: Strategy and Change; Technology Services; Information Services, and Cyber Security. CIS work with departments across the University to provide academic, teaching and administrative services that underpin the day-to-day activities of the whole organisation. CIS is a friendly, but demanding department, where much is expected and can be achieved by competent, self-motivated individuals who work well in teams. The department works in a hybrid capacity depending on the job role and individual personal requirements.

Your application should cover the following criteria:

  

Essential Criteria  

  • Excellent oral and written communication skills and the ability to develop effective working relationships, both internally and externally.  

  • Excellent digital competence with demonstrable skills in using core digital tools including internet, email, digital communication tools, Microsoft 365 applications

  • Educated to degree level (or equivalent experience/professional qualification).  

  • Professional practitioner in IT Asset Management with specialist knowledge in software licence agreements such as Microsoft, Oracle and VMWare.    

  • Knowledge and experience of ensuring licence compliance with regulatory and organisational policy and guidelines.    

  • Experience of providing specialist advice and guidance on a broad variety of software and licensing models, to a range of customers and colleagues, including more senior colleagues.  

  • Attention to detail and ability to track assets throughout their lifecyle.  

  • Experience of having operational oversight for budgets, working within agreed principles and tolerances and forecasting future costs.

  • Ability to contribute to asset and budget planning at operational and strategic levels; producing dashboards and reports as required.

  • Previous experience of managing supplier contracts.

  • Experience of negotiating with vendors

  • Continuing professional development required to maintain professional recognition.  

  • Knowledge of common service management practices such as ITIL.

  • Experience of managing software/hardware assets in a higher education environment.

  • A recognised qualification in hardware asset management.

    Role Delivery

    • Responsible for operational activity across IT Asset Management. 

    • Oversight of short term or temporary project teams/strands for IT Service Asset Management, taking responsibility for decision making as appropriate. 

    • Lead on the design, implementation and monitoring of policy and quality standards, procedures and systems ensuring effective working and continuous improvement of IT Asset Management.

    • Ensure all IT Asset Management activities, processes and transactions are accounted for accurately and promptly to meet regulatory and professional service and policy standards.

    •  Produce communications for reporting purposes, designing and structuring information and fact, applying creative and innovative principles to influence and engage.  

    • Deliver professional expertise with investigative and service methodologies, make recommendations and identify priorities to develop business plans and achieve business outcomes and objectives. 

    • Maintain an oversight of the service and performance metrics to provide reports for higher level managers and committees. 

    • Responsible for allocating and monitoring financial budgets and resources as required. 

    • Manage quality and regulatory audit process for IT Service Management over-arching systems and procedures.

    Planning and Organising

    • Significant input into the scoping and resource planning for IT Asset Management across a range of activities at operational and possibly strategic level. 

    • Carry out project scoping, initiation, planning and implementation for large scale/University wide IT Service Asset Management initiatives. 

    • Promote the improvement and efficiency of departmental services by implementing and managing review and improvement procedures for IT Service Asset Management. 

    • Implement processes to manage the integrity and security of all commercially and professionally sensitive and personal data within IT Asset Management.  

    Teamwork

    • Work with team members and stakeholders to build and maintain excellent working relationships. 

    • Contribute to operational leadership teams and decision making to shape the nature and level of IT Service Management services.  

    Communication/Networking

    • Engage with key stakeholders and internal and external contractors to influence opinion, delivery and reputation of services through IT Service Asset Management. 

    • Responsible for shaping the development and learning of others outside of team, through the design and delivery of training sessions.

    • Lead internal business meetings, working groups and sub-committees at operational service level to influence governance, organisational policy and standards for the service.  

    • Represent the service and University at promotional events and contribute to the delivery of presentations at conferences. 

    • Develop external relations, identify and develop opportunities for communities of practice .  

    Knowledge and Experience

    • Provide expert professional subject expertise and problem-solving skills. 

    • Act as recognised professional practitioner in Asset Management, managing the full software lifecycle through a variety of channels including external vendor portals.

    • Act as specialist point of contact for IT Service Asset Management, dealing with complexity of data and information sources, interpretation and analysis. 

    • Promote and develop a deep understanding of organisational policy and external developments and the potential impacts on IT Asset Management.
