Job Description

The Faculty of Arts & Humanities is seeking an Institute Manager to lead on all aspects of the Digital Futures Institute’ day-to-day operations and to administratively support its ongoing strategic growth. The post holder will work alongside Institute’s academic leadership to achieve their ambitious goals.

They will support the delivery of key objectives through managing a wide range of activity within areas such as business support, its research portfolio, governance, and reporting. The postholder with manage the Institute budget. The postholder will network and connect both within and externally to the institution when appropriate to share best practice.  The role has been created at an exciting time for Arts & Humanities, this interdisciplinary Institute and its associated Centre’s are fast growing and are connecting colleagues from within the faculty and across the institution.

The successful applicant will be a proactive person with excellent interpersonal skills and the ability to build good working relationships with colleagues across the College and externally. They will have experience in managing financial processes, including budget management. They will be highly organised and numerate, with strong written and verbal communication skills, an entrepreneurial spirit, strong team working skills, and a proactive, can-do attitude.

Key Responsibilities
  • Perform a key role in the delivery of operational objectives for the Institute and its associated centres, in collaboration with the Institute’s leadership and Arts & Humanities Operations teams.
  • Manage and monitor the centres budgets, producing forecasts and variance reports, leading on financial reporting, and liaising with the Faculty Business Manager and the faculty’s Management Accountants to ensure effective budget oversight.
  • Ensure the Institute and their activities are compliant with funder, university and external regulations, governance, and financial and legal policies and audits.
  • To perform and implement effective standard operating procedures.
  • Produce policies and procedural documentation on core functional areas for the institute and wider operations team including financial, procurement, and operational guidelines.
  • Manage own time to meet objectives agreed with the institute’s leadership team to achieve research, education, and external engagement objectives.
  • To be proactive in solving problems and use judgement and initiative to investigate and resolve any non-standard problems, dealing with conflicts or other issues with a high level of tact, diplomacy, and sensitivity.
  • To collate and present information regarding Institute’s activities and progress to appropriate stakeholders.
  • Ensure relevant information or data is available, and reported in appropriate formats, for other reporting requests concerning the Institute, such as financial, publications and research recruitment activity.
  • Organise small and large events and/or meetings, liaising with external organising agencies where necessary, for the Institute and its associated Centre’s.
  • Provide guidance and project management support to academics, drawing assistance from other central and faculty-based teams as needed, particularly Events, Communications, Impact and Post-Award teams.
  • As a member of the faculty Business Support and Operations team, lead and contribute to faculty wide projects to create a more efficient and effective Operations team function.
  • Contribute to a culture of continuous improvement, suggesting and enacting positive changes to enhance service delivery, effectiveness, and efficiency.
  • To work closely with faculty academic and professional services in accordance with the model for partnership working and in the delivery of a ‘one team’ ethos across all professional services teams.
  • Work flexibly to undertake other one-off and ad hoc tasks in support of Institute objectives as instructed by the Institute Director.
