Job Purpose

The Senior Human Resources Management Systems (HRMS) Specialist analyzes, coordinates, and maintains HR related information and systems to support continuous process improvement. Independently interacts on a regular basis with HR staff and other department representatives to gather and analyze HR related business requirements and interpret business needs and issues in order to provide automated solutions for the HR Division and the university's employees. Analyzes and implements bulk information updates. Develops & maintains HR related online reports and dashboards. Audits, cleans, and maintains all HR related information. Provides the required live information sources for automation and interfaces. Performs the role of an HRMS Super-user.

Key Roles & Responsibilities

Operational Responsibilities

  • Monitor the use of the HR systems and guide users on proper utilization.
  • Help ensure data integrity in the HR systems through running queries and analyzing data. Work with concerned users or departments on resolving discrepancies in data and/or advice on correcting HR information on the systems.
  • Develop, enhance, and manage the HR related views and data interfaces to ensure accurate and comprehensive utilization of HR information across all university systems.
  • Prepare required ad-hoc HR reports for both internal and external customers.
  • Develop, enhance, and maintain HR related online reports and dashboards.
  • Analyze and define future information and system requirements and coordinate with the concerned department(s) and the technical support team(s).
  • Participate in reviewing HR information requirements in vendor systems as part of selecting and implementing new systems in the HR Division.
  • Prepare & execute bulk updates/actions on HR data structures including organization structures, positions, salaries, benefits etc.
  • Import and upload bulk data into HR systems from other sources, export data to other systems/destinations, and prepare & execute scripts to perform bulk data updates.
  • Test new / modified functionalities and/or systems.
  • Assist in identifying HR system user roles and access.
  • Develop user procedures, guidelines and documentation where applicable.
  • Train end users on new processes / features / functionalities of HR systems.
  • Adhere to the University's information security and confidentiality policies and procedures, and report breaches or other security risks accordingly
  • Coordinate with other departments to facilitate the accomplishment of tasks and responsibilities, as and when needed.
  • Perform any other tasks assigned by the Line Manager.

Qualifications

Qualifications & Experience

Required Qualifications

Bachelor’s degree in Human Resources, or Information Technology related field.

Other:

  • Proficient in Structured Query Language (SQL) .
  • High proficiency in MS Excel and online Reporting Tools (Power BI, Report Builder etc.).
  • Strong HR Functional Knowledge.
  • Strong analytical problem-solving skills.
  • Strong knowledge of relational databases.

Required Experience

Expats:

A minimum 7-9 years of relevant experience.

UAE Nationals:

A minimum of 3-5 years of relevant experience
