The MRC Laboratory of Molecular Biology (LMB) is one of the birthplaces of modern molecular biology and has played an important role in the development of many new techniques, most notably protein crystallography, cryo-electron microscopy, DNA sequencing and monoclonal antibodies.  The LMB has a clear goal of understanding biological processes at the molecular level, with the ultimate aim of using this knowledge to tackle specific problems in human health and disease.  We aim to tackle difficult, long-term problems, which often require investment over many years.
There are four scientific Divisions - Structural Studies, Protein and Nucleic Acid Chemistry, Cell Biology and Neurobiology.  However, scientific collaboration between the different Divisions is extensive.  Scientists are well supported by excellent scientific facilities and by the LMB Operations Group which maintains the core infrastructure and services of the institute.

Overall purpose:

To provide professional and proactive recruitment focused administrative support to the HR Department at the Laboratory of Molecular Biology (LMB).  Specifically providing an effective recruitment service as well as general support to the HR Advisors and wider team.

Main duties and key responsibilities:

Recruitment:

In order to support HR Advisors in the management of recruitment campaigns you will: 

  • Provide administrative support for the end to end recruitment process, including initial discussions regarding campaigns with the HR Advisors, the co-ordination of recruitment documentation, the creation of advertising and campaign monitoring, shortlisting and interview co-ordination and contract generation and suggest improvements where necessary.
  • Provide a supportive role to the HR Advisors, they will oversee and be responsible for the recruitment service so will require your expertise and assistance in ensuring the service is efficient and effective.
  • Ensure that Employee Terms and Benefits for candidates after formal interview are carried out so that the HR team are confident that potential new employees are engaged with and informed fully of the details of the role they are being interviewed for.
  • Support the HR Advisors where possible in the management of immigration cases. You will need to be willing to learn the process and provide any support which may be required.
  • To carry out Postdoc scheme inductions, providing all the necessary information and guidance as required.
  • Provide support to the HR Advisors in the proactive monitoring of the recruitment service undertaking research as and when required e.g. investigating media sources and carrying out fact finding and recruitment data analysis.

General administrative tasks: 

  • To act as the first point of contact for visitors to the HR department, directing queries as appropriate to the HR Advisors and wider team and effectively trouble shooting where possible.
  • To jointly oversee the efficiencies of the HR admin function including escalating matters to the HR Advisors as appropriate.
  • To manage the HR Recruitment inbox, ensuring emails are prioritised and actioned appropriately.
  • To provide recruitment reports to HR Advisors as requested.
  • To provide cover and support to the HR Admin Assistant during busy periods and absences.
  • Provide Administration support to the Training Coordinator (Typically 1-2 hours per week).

Working relationships:

You will be line managed by one of the HR Advisors, with all Advisors providing support and guidance.

You will work alongside the HR Admin Assistant.

You may be required to jointly supervise an HR Apprentice.  Daily communication will be required with HR Advisors and the wider team.

Regular communication will be required with LMB staff, including administrators and with UK Shared Business Service (UK SBS).

Education / qualifications / training required:

Essential: Educated to A Level standard or equivalent experience.

Desirable: Level 2 Business & Administration qualification or equivalent.

Previous work experience required:

Essential:

  • Experience of working in a busy office environment.
  • Experience of working as part of a team.
  • Experience of prioritising own workload.

Desirable:

  • Experience of working in an HR environment and providing HR administration.
  • Experience of administering a recruitment process.
