Fire Evacuation and PEEP Process Change Manager (Internal Only)

Job description
  • Project implementation of new Personal Emergency Evacuation Plan (PEEP) process for King’s staff and students through: 
  • Consultation and liaison with H&SS over ownership, hosting and general implementation of the overall PEEPs process. 
  • Consultation and liaison with SED and Faculties to implement student PEEPs process. Specifically, Disability, Support & Inclusion in SED and Faculty Disability Support Officers. 
  • Consultation and liaison with HR and Faculties/PS Directorates over staff PEEPs process. 
  • Consultation and liaison with King’s Data Protection Officer and completion of a satisfactory Data Protection Impact Assessment for storage of PEEPs data. 
  • Consultation and liaison with Equality, Diversity and Inclusion over potential for linking the new staff PEEPs process to impending Individual Adjustments Passport initiative. 
  • Consultation and liaison with E&F and King’s Comms over publicity and roll out of new PEEPs process. 

Provide analysis of existing and new PEEP data: numbers, locations etc. and develop Power BI dashboard to share this data (non-personal data only). 

Review content and applicability of existing PEEPs for review and potential recompletion against the new process. 

Manage and complete new PEEPs required by staff or students post implementation and up to end 2024 calendar year. The develop implementation plan for moving PEEPs completion and management to Campus Ops BAU for 2025 on, including recommendation of resource and facilities required. 

Complete roll out programme of Fire Safety Management Plans (FSMPs) for all buildings, or logical groupings thereof, consulting and liaising with campus Ops and E&F Assurance. Programme to be prioritised based on risk, use (footfall and research activity) and size of building.  

Complete roll out programme of Accessibility and Disabled Egress management Plans (ADEMPs) for all buildings, or logical groupings thereof, consulting and liaising with campus Ops, E&F Assurance and appointed specialist consultants. Programme to be prioritised based on risk, use (footfall and research activity) and size of building. 

Review FSMPs and ADEMPs on completion with regard to accessibility information and consult with Campus Ops on improvement opportunities, where possible linked to completed PEEPs. Ensure ADEMPs reflect new and impending improvements e.g. Refuges. 

Explore and potentially roll out use of SafeZone as a fire safety measure by utilising all suitable stairwells around campus as Refuge Areas. This work to be linked in with any project looking at installation of beacons to assist SafeZone location finding. 

This is a temporary post available as a secondment opportunity on a fixed term contract. 

100% full time equivalent 

This is a hybrid working post but attendance on campuses is expected approximately 60% of the time.


Key responsibilities

•        Implementation of new staff and student PEEPs process involving consultation and liaison with all other Faculties, Departments and Directorates detailed to enable this.  

•        Manage all new PEEPs, particularly for 2024 student intake and new staff joiners but also reviewing all existing PEEPs, where available, for applicability and possible review/recompletion. 

•        Implement and manage dashboard on PEEPs numbers, detail, location etc. with due regard to GDPR restrictions. 

•        Complete programme of FSMPs for whole of King’s estate. 

•        Complete programme of ADEMPs for whole of King’s estate. 

•        Reviewing content of FSMPs and ADEMPs to assist new and future PEEPs and to identify areas for continual improvement. 

•        Review use of SafeZone as a fire safety assistance measure. 

The above list of responsibilities may not be exhaustive, and the post holder will be required to undertake such tasks and responsibilities as may reasonably be expected within the scope and grading of the post.  


Skills, knowledge, and experience 

Experience of Higher Education Facilities. 

Detailed knowledge of King’s campuses, buildings, organisational structure and fire and related policies and procedures. 

Knowledge and experience of Equality Act 2010 and King’s responsibilities under that. 

Experience of project management and budget control.  

Ability to effectively disseminate/communicate/assimilate information to a variety of audiences and levels. 

Experience of compliance/Health and Safety Regulations pertaining to building management and project delivery.  

Logical, systematic problem solver.  

Essential criteria  

1.       H&S Qualification 

2.       H&S knowledge and experience, particularly with regard to Fire Safety and Accessibility. 

3.       Strong and effective communicator demonstrable at all organizational levels. 

4.       Self-motivated with the ability to work without supervision. 

5.       Logical, systematic problem solver 

6.       Experience of use and management of MS Office functions 

7.       Experience and knowledge of King’s campus, buildings and organizational structure. 

Desirable criteria

1.       Experience of working within King’s E&F and/or a closely linked role. 

2.       Knowledge of the use and application or FSMPs and ADEMPs 

3.       Knowledge of the use and application of SafeZone
