Responsibilities:

Facilities and Building Maintenance

  • Manage reception queries such as greeting visitors, accepting packages/mail, triage student questions, support faculty IT classroom issues, etc
  • Be involved with the move to new centre space
  • Responsible for managing the physical space at the IES Centre, including all contractors, works, maintenance, photocopiers, water fountains, academic equipment in classrooms, cleaning and facilities issues.
  • Serve as the primary on-site IT consultant/ IT providers/ suppliers, liaising with off-site company and Chicago IT department as required
  • Maintain the onsite servers, computers and other IT equipment adhering to IES IT refresh policy (training and support will be provided)
  • Manage PAT electrical testing.
  • Organise deferred maintenance bids and manage the construction or other projects that result from successful bids.
  • Keep statutory records regarding fire prevention and health and safety matters up to date and organised, such as electrical testing, gas boiler test certificate, emergency lighting and signage, accidents at work, alarm testing, fire drills, and so on.
  • Liaise with Security Company and key holding company as required and keep records of keys and alarm access and manage any incidents of break ins or false alarms.
  • Create and manage an ongoing plan for building maintenance and health and safety requirements that links with budget cycles and liaise with the Centre Director regarding planning for any additional costs.
  • Run regular fire alarm tests and drills

Miscellaneous Duties including Student Affairs

  • Manage petty cash
  • Update the inventory of the IES London Centre
  • Manage the ordering of all office supplies
  • Manage the Centre library; including cataloguing and shelving new volumes, as well as periodic verification/shelving of current in-house collection. Manage the on-line catalogue as required
  • Support arrivals and orientations of all IES programmes
  • Support and manage one customized programme each year
  • Participate in emergency phone rota (on a back up phone)
  • Laptop checkout/management
  • All other projects and duties as assigned by the senior management team
