We are looking for an Executive Office administrator to join the ASA Operations Administrative Team at Oxford Brookes University.

This is an exciting opportunity that involves interesting and varied work in collaboration with staff from across the University, supporting critical services and working to consistently deliver an outstanding administrative service to colleagues within the Academic and Student Administration Directorate.

Please note this role will be hybrid with one to two days per week onsite at Headington Campus. To be discussed.

The Executive Officer administrative duties can be considered in two separate sections of Core and Specialist administration.

Core:

To include but not limited to the following:

  • To work as part of a team to deliver administrative duties including purchasing, raising purchase orders, paying invoices, travel, maintaining circulation lists, holiday/sickness reporting, timesheet administration, diary management for Executive level staff and above, oversight of Human Resources processes, asset register management and space management.
  • Oversight of Human Resources processes; induction, personal development, staffing records, recruitment.
  • Financial matters, purchasing, hiring, recharging, budget and year end processes.
  • Web development for the Directorate.
  • Maintaining an up to date knowledge of relevant University policies and procedures and providing advice to colleagues on compliance, financial and HR processes.

Specialism:

To include but not limited to the following:

  • Providing management of the administration of mental health and wellbeing.
  • Providing holiday management for all administrations within Support Services ensuring adequate cover in each area during annual leave.
  • Providing support and guidance to Support Services budget holders.
  • Providing ad hoc support for the Info Desk as necessary.
  • Ensuring Student Support Services administration can operate effectively.
  • Maintaining adequate staffing levels to cover priority functions.
  • Liaising within departments in relation to administrative matters.

Qualifications and Experience for the post:

  • Degree or equivalent or work experience.
  • Administration qualification or equivalent work experience.
  • Experience of setting up and managing administration systems.
  • Experience of supporting meetings, agenda preparation, minute taking, following up and progressing actions.
  • Proven experience of managing confidential or sensitive information.
  • Experience of monitoring budgets and financial reports for anomalies.
  • Experience of providing advice and guidance and of supporting students/young people in an academic setting who may be facing a wide range of challenges would be advantageous.
  • Experience providing excellent customer service and/or information.
