Executive Assistant

Updated: 4 months ago
Location: Bristol, ENGLAND
Job Type: FullTime

The GW4 Alliance (GW4) is a consortium of four of the most research-intensive and innovative universities in the UK: Bath, Bristol, Cardiff and Exeter. Collaboration sits at the very heart of the GW4 Alliance, and working with other organisations, industry, and society, GW4 aims to enhance research collaboration; address global, societal, and industrial challenges; and inform policy at national and international levels. The GW4 Directorate is funded by all four partner universities, and together we identify areas of complementary expertise to develop research communities at scale which address major global and industrial challenges. This role will be pivotal to the success of the GW4 programme and associated governance that enables the strategic potential of our alliance.

This role will sit within the GW4 Directorate, working closely with the GW4 Director and senior leadership teams at all four partner universities. As part of the GW4 team, you will work to support the Directorate as a whole, managing the delivery of regular and ad hoc meetings, and providing support for any associated follow-up activity. The core workload will be supporting the governance meetings of GW4 Board and Council as well as facilitating other senior and external meetings for the GW4 Director and GW4 Team to carry out duties as part of the delivery and development of the GW4 programme.

In addition, you will be the first point of contact for those outside of the Directorate, fielding general enquiries and building a broad knowledge and understanding of the overall programme. You will support the team meetings of the Directorate, and undertake a key point of contact role for routine office management including requisitioning of purchases, overseeing the office inventory, arranging deliveries of merchandise for events and making sure routine processes for effective running of the team are in place and followed.

A significant element of the role revolves around diary management and planning, which in turn requires skills in trouble-shooting and problem solving. Given the complexities of delivering a programme of work across organisations and their associated geography, you will often need to think creatively, and take the initiative to identify and resolve problems, working both independently and as part of a team. As such, you will need to communicate clearly and confidently across a range of seniority levels and be able to consider and act on changing priorities at short notice.

Your organisational skills must be well developed, and an ability to establish strong working relationships with different organisations will be important in order to effectively carry out the role. A positive and proactive attitude will be a valuable asset to ensuring effective support both in enabling the delivery of the GW4 programme, and facilitating effective engagement of all four partner universities.
