Job Purpose

As a member of the School Professional Services Leadership Team, working in partnership with senior colleagues across the School, College, University, and our partner institutions, you will be responsible for managing the School’s Erasmus Mundus portfolio.

Erasmus Mundus activity is a key strand in the School and University’s internationalisation strategy. You will lead a professional services team that delivers exceptional service across our International Masters degree programmes, incorporating up to 500 students, 14 consortium partners, and 60 associate partners.

You will build excellent relationships to deliver partnership working across the Erasmus Mundus network alongside strong project and financial management skills, including ensuring adherence to internal and external regulatory and governance requirements. In addition, you will lead your professional services team to continue to develop mobility opportunities and facilitate an excellent student experience for our cohorts of students.

This role will initially be focused on managing the Erasmus Mundus portfolio for the School of Social and Political Sciences in the College of Social Sciences. The focus of the role may change in future depending on the business needs of the School and College at that time. Please note that you may be required to work in a broadly similar role in a different area of the School or College. There will be no change to either the grade of the role or the broad skill and experience requirements.

Main Duties and Responsibilities

1.  Responsible for leadership of the School’s Erasmus Mundus professional services support and promotion and development of best practices in terms of compliance with the policies and regulations of the School, College, and University in the application of the provision of learning and teaching, student support and experience, assessment, quality assurance and enhancement on the School’s Erasmus Mundus programmes.

2.  Responsible for project management of the School’s Erasmus Mundus projects in receipt of grant funding from the European Education and Culture Executive Agency (EACEA), including development of all governance documentation and joint programme regulations through direct negotiation and discussion with partners, and working in partnership with Programme Convenors to submit reports to the grant funder.

3.  Management and oversight of all related financial budgets including tuition and stipend payments to scholarship students; programmes’ management funds to support programme activities including induction activities, in-person consortium meetings, visiting scholars and study trips; and transferring of tuition fees to consortium partners.

4.  Management of scholarship selection procedures for the Erasmus Mundus programmes, including ensuring adherence to all EACEA regulations around geographical spread of selected candidates and calculation of scholarship amounts due.

5.  Responsible for strategic planning in partnership with the EMJMD Programme Directors in key business areas related to Erasmus Mundus, including the development of marketing strategies and measuring the financial/non-financial impact of our Erasmus Mundus portfolio.

6.  Management, development and auditing of processes to ensure the maintenance of academic standards and enhancing the quality of provision for Erasmus Mundus programmes while ensuring robust, accurate and auditable records of student engagement and performance, ensuring these processes are in line with University and EACEA policies and guidance.

7.  Develop and manage relationships with senior academic and professional services colleagues in 14 consortium partners in 12 countries, with up to 60 associated international partner institutions.

8.  Lead and develop a professional services team, ensuring that effective and efficient management arrangements are in place to achieve delivery of high-quality student support; delivery of a high-performing, effective, flexible, and responsive administrative support service; develop training and development activities that support high-quality service delivery; and the implementation of relevant continuous improvement ideas to help the team take forward their responsibilities accordingly.

9.  Set P&DR objectives for the team which will ensure excellent customer service and development of colleagues.

10. Lead the delivery of a comprehensive administrative support service for all aspects of Erasmus Mundus learning and teaching support, including Quality Assurance, registration, induction, progression, payment of Erasmus Mundus scholarships, assessment and examinations, grade conversion and student pastoral support, and provision of expert policy and regulatory advice and guidance to ensure the administration of all Erasmus Mundus examination boards complies with University regulations, working closely with colleagues in international partner institutions.

11. Interpret relevant regulations of Erasmus Mundus international partners to provide accurate advice and support to students, including coordination with Partner mobility offices and Consulates of member states. Collate, analyse and report on management information for various stakeholders to support effective decision-making.

12. Develop the marketing and alumni engagement strategy of Erasmus Mundus programmes and coordinate its delivery across several channels/media. In addition, manage the delivery of several related activities, including event planning, consortium meetings, Summer Schools, visiting scholar programmes, and induction/graduation events.

13. Participate as an active member and coordinator of the relevant Erasmus Mundus programme committees and manage and organise effective support for these.

14. Travel overseas as required to support the delivery and management of the School’s Erasmus Mundus programmes.

Knowledge, Qualifications, Skills and Experience

Knowledge/Qualifications 

Essential

A1 Either: Ability to demonstrate the competencies required to undertake the duties associated with this level of post having acquired the necessary knowledge and skills in a similar or number of different roles. Or: Scottish Credit and Qualification Framework level 9, (Ordinary Degree, Scottish Vocational Qualification level 4), or equivalent (including professional accreditation with relevant formal training), and experience of personal development in a similar or related role(s).

A2 Knowledge of governance and business processes in a large complex organisation.

A3 Knowledge of Quality Assurance and related practices.

A4 Knowledge of process improvement and change management.

A5 Knowledge of people/HR management policies and practices.

Desirable

B1 Knowledge and understanding of European Commission regulations, policies and procedures governing Erasmus Mundus Joint Masters Degrees.

B2 Knowledge of the structure, configuration and delivery of both teaching and administration of Erasmus Mundus Joint Masters Degrees or similar non-accredited International Masters or joint/multiple degree programmes.

B3 Knowledge of regulations governing study visas in the UK and/or abroad.

B4 Knowledge and understanding of University systems including MyCampus, Agresso.

Essential

C1 Proven track record of successful project management and process improvement delivery, showing excellent planning, organisational and negotiation skills.

C2 Excellent written and verbal communication skills, including the ability to develop, deliver and articulate a clear vision and produce high-quality governance documentation and other written content for various audiences.

C3 Well developed and demonstrable team management and leadership skills with the ability to empower and motivate others to deliver a high performance in a participative manner.

C8 Excellent IT and data analysis skills and a high level of numeracy, including understanding financial planning and the ability to extract and present management information for varied and complex issues.

C9 Ability to develop operational plans to support strategic initiatives.

D1 Verbal and written proficiency in a second/multiple European language(s).

Experience

Essential 

E1 3 years’ experience in a relevant role (with qualifications or evidence of progression) and development gained from relevant work experience.

E2 Demonstrable experience of working in a highly administrative and governance driven environment.

E3 Demonstrable experience of managing and developing staff and ensuring the application of effective performance management arrangements that drive effective, efficient and high-quality service delivery.

E4 Significant experience of developing and delivering high-quality customer services that meet multiple user needs.

E5 Prior experience of interpreting regulations, providing high quality advice and guidance to others on governance, compliance and service delivery matters.

E6 Management and monitoring of financial budgets.

E7 Experience of developing and implementing change and improvement initiatives related to administrative policies and processes.

Desirable

F1 Working within the Higher Education sector, preferably in a student-facing and/or teaching support capacity.

F2 Working with/in and building effective relationships with European Higher Education Institutions.

F3 Experience developing governance documentation in relation to bilateral agreements in a Higher Education environment.

Other

The post plays a key role in the management and ongoing development within the wider School Learning and Teaching  Services function. The post holder will play a key role in developing continuous improvement across the School, and will also be expected to support and embed new improved ways of working from wider change and improvement projects. You will be supported to do this.

Terms and Conditions

Salary will be Grade 7, £39,347 - £44,263 per annum.

This post is full time (35 hours per week) and open ended (permanent).
