Job Purpose
The post holder will provide project management and public engagement expertise ensuring that relevant MVLS IEE initiatives including ScotPEN Wellcome Engagement Award are delivered efficiently to strict deadlines and within the budget while working effectively with staff from diverse backgrounds. These will include partner universities’ public engagement, finance, research support and governance teams; Wellcome Trust, and external partner organisations.
Main Duties and Responsibilities
1. To deliver day-to-day management and co-ordination of MVLS engagement activities including ScotPEN Wellcome Engagement Award scheme (SWEA).
2. Responsible for organising the delivery of appropriate steering and operational groups, to discuss and identify latest developments and best practise, review and update application materials and take forward any actions.
3. To proactively collaborate with funders, e.g. Wellcome Trust, and key partners/colleagues both internally and externally.
4. To co-ordinate the assessment process and award panels as appropriate; progressing application outcomes and awards, providing feedback to applicants and updating appropriate systems; maintaining and ensuring the integrity of all project data and information.
5. To lead and report on the budget performance with respect to all activities which will include invoicing across partner institutions where appropriate.
6. To manage and monitor effective communications (i.e. ScotPEN webpages, MVLS Engagement webpages, publicity, training, funding calls etc.) to ensure high levels of engagement and visibility.
7. Working closely with the research support team, act as a central point of contact for staff providing expert pre- and post-application advice and support to prospective applicants (encompassing support for ethics applications, financial management and project change processes and control).
8. To co-ordinate the evaluation of engagement schemes and related activities, working closely with external evaluators -; to ensure that all information has been incorporated.
9. Take a leading role in preparing, analysing and producing management project reports for funders and appropriate steering group; to interpret the information and provide recommendations to inform strategic development and decision making.
10. Contribute and support funder and other audits, ensuring accurate audit records are maintained and attend meetings with auditors, as required.
11. Be actively involved in appropriate intra and inter-institutional collaborative working to build networks, share best practice, develop web-based resources and provide training.
12. Coordinate a ScotPEN membership consultation on the future development of ScotPEN as a network.

A1 Scottish Credit and Qualification Framework level 9, Ordinary Degree, Scottish Vocational Qualification level 4, or equivalent in a relevant discipline/business area with evidence of continued professional development in an area relevant to the role

C1 Knowledge and understanding of grant application processes and funder guidelines in the UK Higher Education Sector
C2 Extensive skills in using various communication channels and media
C3 Excellent oral and written communication skills with the ability to communicate at all levels in a professional and personable manner
C4 Awareness of the UK public engagement landscape
C5 High level of influencing and negotiating skills, and ability to motivate and enthuse others
C6 Ability to work flexibly and independently, assess and adapt to changing priorities and manage own workload effectively
C7 Ability to build productive relationships within and outwith the University
C8 Ability to prepare written reports and collate and summarise complex information, ideally with experience in reporting to funders/senior management
C9 Capable of working effectively with people at all levels of seniority and across organisational boundaries

E1 Significant project management experience in a similar or related role, including financial management or budget experience

F2 Experience of developing, managing and delivering Public Engagement with Research activities and events (ideally health research)
F3 Experience of evaluating public engagement projects

Terms and Conditions
Salary will be Grade 7, £39,347 - £44,263 per annum pro rata.
This post is part time (10.5 hours per week) and fixed term until 30th November 2025.
