We are recruiting a newly established role of Education Team Leader to join our supportive professional services team and academic community.

Our School is at a cornerstone in its development of education.  Patients with ocular disease are now being managed in the community by their optometrist and, for our School, we are driving these innovative new pathways in healthcare excellence and delivery.  These changes are aligning with the new curriculum mandated by the General Optical Council (GOC) Education Standards Review that will forge a new pathway for undergraduate and postgraduate study.

The post-holder will provide operational and management support to the Student Education Manager and the School’s senior management team across the School’s learning and teaching activities, with the principal aim of delivering an efficient, effective and quality-driven education service to the School.

This full-time post (35 hours per week) is open-ended and is available immediately.

Salary:  £27,924 - £32,344 per annum (Grade 5)

Job Description

Administrative support for education at the School of Optometry and Vision Sciences is divided into two operational teams; one team provides administrative support for undergraduate and postgraduate research students and the other as part of the Wales Optometry Postgraduate Education Centre, which provides support for postgraduate taught programmes and CPD events.  This post will have a focus on postgraduate taught and CPD activities.

The principle aim of this new role is to deliver an efficient and effective education service to the School contributing to the operational and planning requirements of learning and teaching.  Working closely with the Student Education Manager, you will manage the School’s operational teams and undertake duties ranging from recruitment and admissions, induction to assessment, leading to award and graduation.

Key Duties
* As Deputy to the Student Education Manager, to manage the operation of the effective and efficient delivery of the School’s undergraduate and postgraduate programmes, planning, organising and delegating work, monitoring progress and intervening as required.

* Oversee and undertake postgraduate/undergraduate administrative tasks, ranging from admissions, timetabling, student induction, student support matters, assessments, progression, award and graduation, providing advice and guidance to team members, students and academic staff.

*Manage and guide team members in welfare issues, performance, training and encourage development of the team, escalating as necessary to specialist support areas.

* To provide administrative support for the postgraduate MSc programme(s).

* To provide administrative support for scholarships (for example Commonwealth Scholarships), includes managing applying for the scholarship, monitoring student progress and co-ordinating student visits.

* To ensure the timely response of student feedback, advising on the enhancement of service provision, where appropriate. 

*To provide administrative support for internal and external reviews and programme validation, including Annual Review and Enhancement and re-validation of programmes, as set out by the General Optical Council; and to provide input into the preparation of relevant documentation. 

*To ensure compliance with University procedures and regulations and provide advice and guidance to students, staff, as appropriate.  

*To provide administrative support, where appropriate, for student cases and co-ordinate recommendations through the appropriate channels.

*To facilitate the management of the School’s Examining Boards, ensuring that all documentation and briefings are presented in an accurate and timely manner.

Person Specification

Essential Criteria

1. Degree/ NVQ4 or equivalent professional membership/work experience.
2. Experience of supervising the work of others and/or projects and managing own workload concurrently: working unsupervised to deadlines, planning and setting priorities for own work and that of others and monitoring progress.
3. A high level of IT competency, working regularly with Microsoft packages (including recent versions of Word and Excel) and demonstrating excellent attention to detail.
4. A dependable individual, who is pro-active, adaptable, with excellent teamworking and communication skills, along with a willingness to contribute positively to the management of the School.
5. Ability to communicate detailed and complex information effectively and professionally with a wide range of people and to give advice and guidance to internal and external customers.
6. Ability to set up standard office systems and procedures and make improvements to ensure that stakeholder needs are consistently met.
7. Experience of and/or ability to support staff and manage performance and welfare issues.
8. Evidence of ability to explore customers’ needs and adapt the service accordingly to ensure a quality service is delivered.
9. Evidence of ability to solve expansive problems using initiative and creativity; identifying and proposing practical solutions and resolving problems with range of potential outcomes.
10. Ability to react to changes in workload and competing priorities and to work under pressure.

Desirable Criteria

1. Experience of working in a Higher Education environment ideally in a student-facing role, or a comparable customer facing role.
2. Experience of working in an administrative role supporting undergraduate or postgraduate education.
3. Experience of managing and motivating a team.
4. Fluency in Welsh, written and oral.

*To work with members of staff and the University’s timetabling team to produce and update regularly the School’s teaching timetables for postgraduate and/or undergraduate programmes.

*To act as Secretary and assist with the efficient and effective management of the School’s Teaching Committees, particularly Boards of Studies.

*To work with School marketing teams to support marketing, including arrangements for external conferences and events. 

* Collaborate with others in order to make recommendations for the development of established processes and procedures, with the highest emphasis on quality control and service delivery.  

* To undergo personal development that is appropriate to, and which will enhance performance in, the role of Education Team Leader.

* To establish working relationships with key contacts to help improve service levels, developing appropriate communication links with Academic staff within the School, and within Professional services, as required.

* To gather and analyse data to inform management decisions, establishing basic trends and patterns in data and creating reports as appropriate.
