Location: University of Birmingham, Edgbaston, Birmingham UK

Full time starting salary is normally in the range £19,581 to £20,939. With potential progression once in post to £25,509 a year.

Main duties

  • Collate, record and maintain a wide variety of student data (registration, attendance, marks, fees etc), inputting into University systems to ensure up-to-date and accurate records for all individuals and programmes. For Colleges and Schools with international students, data must also comply with and confirm to all UKVI data requirements.

  • Generate and produce data reports to fulfil reporting requirements and demonstrate programme performance against KPIs and SLAs, and to inform module and programme evaluation.

  • Support the assessment and examination process to ensure its smooth running. This will include scheduling examinations, producing the required examination papers, distributing papers for marking, and compiling information for the Examination Board.

  • Assist in producing timetables, to ensure that all teaching activities and programme activities are scheduled appropriately and avoid clashes

  • Organise, co-ordinate and allocate student placements to ensure all students are matched with appropriate placements, and that effective working relationships are maintained with placement providers.

  • Liaise and co-ordinate with academics and programme leaders so that accurate information is shared and that they are held to account to meet deadlines.

  • Communicate programme information to students through a range of formats, to ensure that all students are well-informed and understand the programme requirements.

  • Acting as the main point of contact, provide support to students and respond to day-to-day queries about their programme, delivering an excellent customer service. This will also entail referring or escalating students’ queries to the relevant person, such as an academic or Programme Leads.

  • Maintain student handbooks so that information for students is up-to-date.

  • Maintain and update programme content on the virtual learning environment.

  • Provide secretarial support (creating agendas, taking minutes etc) for committees, examination boards and working groups as required

  • Provide administrative support for other activities such as welcome, examinations, and graduation, in order to ensure the smooth-running of wider programme and College activities.

  • Supervise activities allocated to and undertaken by Administrative Assistants.

  • Co-ordinate student experience activities and welfare guidance, including acting as a first point of contact for welfare matters and referring students to relevant services, and arranging activities and events.

  • Supports equality and values diversity, moderates own behaviour to avoid unfair discriminatory impact or bias on others

Required Knowledge, Skills, Qualifications, Experience

  • Educated to A Level standard, with a minimum of grade C in Mathematics and English at GCSE or equivalent.

  • Experience of administration in an academic or education setting.

  • Good IT skills, with working knowledge of standard Microsoft Office software, and the ability to learn new software and systems.

  • Experience of supporting customers or students.

  • Knowledge of the relevant University regulations, policies and procedures.

  • Detailed knowledge of the programme requirements for all relevant programmes.

  • Understands the importance of  equality and diversity in the workplace

  • Ability to identify and respond to equality and diversity issues in line with relevant policies and procedures
