Job summary
We are seeking a Department Administrator to support the research carried out in the Department of Infectious Disease Epidemiology at Imperial College London.
The Department of Infectious Disease Epidemiology, headed by Professor Azra Ghani, carries out research into all aspects of infectious disease epidemiology and is one of the largest and most well-known departments in this field. It fosters interdisciplinary research in the study of infectious disease, using approaches ranging from mathematical studies of transmission dynamics and disease control, molecular epidemiology and pathogen evolution, to field programmes of research in disease control. The Department is located across the St. Mary's Hospital and White City campuses of Imperial College London but will be fully located at White City campus from February 2024.
The staff of the Department carry out world class research (and provide advice to governments) on a wide range of infectious diseases and pathogens, which in recent years have included COVID-19, HIV and AIDS, pandemic influenza, major bacterial and fungal diseases, antibiotic resistance (e.g. MRSA), SARS, Ebola, Zika, bioterrorism and a variety of parasitic infections.
The post holder will support the Department Manager (DM) to provide an efficient and smooth-running administrative service to staff and students in the Department of Infectious Disease Epidemiology.
The successful candidate will be an excellent team worker collaborating effectively with the Department Manager, academic staff and project teams, as well as other administrators and colleagues in the Department, external partners, and collaborating organisations and grant funding bodies.
Duties and responsibilities
Key duties and responsibilities include the following:
- Administer human resources processes for the Department, acting as first point of contact for all queries. Providing advice and guidance on College policies.
- Main liaison with HR Staff Hub staff, HR Compliance team, and strategic HR Partners on all HR queries
- Providing further support to PIs, as required, including in the organisation of meetings and events.
Responsibility for maintaining HR and general administrative information on the Departmental shared drive, in accordance with the Department’s file structures.
Essential requirements
- Educated to A-level standard or equivalent
- Experience of working as part of a small team to deliver a project support function
- Excellent written and verbal communication skills
- Ability to quickly develop strong and effective working relationships
- Proven organisational and time management skills, effectively handling conflicting priorities and ensuring tight deadlines are met
- A high level of accuracy and consistent attention to detail
- Ability to handle confidential information with tact and discretion
- Ability to work independently and as part of a team, as required
- An open and positive attitude to working in a constantly changing environment

Hybrid working may be considered for this role. Staff working in roles that are suitable for hybrid working will normally be expected to work 60% of their time onsite. The opportunity for hybrid working will be discussed at interview.
