As Community Support Receptionist you will be the first point of contact for the Imperial Enterprise Lab. You will greet all visitors to the Lab in person, telephone and by email and signpost to relevant Lab activities. You will take queries from students at the front desk regarding support needed, provide support for events in the Lab & ensure set-up and tidy up of activities. You will be the lead administrator on the Lab’s timetabling system, ensuring that the timetable is up to date and bookings are catered for. You will be part of an energetic and passionate team who support the growth of new entrepreneurial ideas from our talented science, engineering, medicine and business students.
This role is part of a shift pattern (Monday-Friday (approximately; 10:00-14:15)
You will be part of a creative, energetic and passionate team who support the growth of new entrepreneurial ideas from our community of talented science, engineering, medicine and business students, early career researchers and academic staff. This role will allow you to take the lead on a range of activities to support their acceleration.
Duties and responsibilities
- Front facing support, providing an excellent customer experience for visitors to the Lab
- Liaising with students, alumni and visitors and responding to queries and requests
- Providing organisational support by booking meeting rooms, arranging catering, setting up AV equipment for presentations and video/teleconferencing, receiving external visitors, arranging guest systems access and car parking, printing hand-outs, ensuring stationery and other materials are available and reordering these as required.
- Managing the reception, boardroom, studio and performance simulator spaces to a high standard
- Booking and timetabling of activities within and outside of the Lab
- Ensuring all Lab-led activities comply with Lab standards and health and safety requirements
- Providing creative ideas for creating a stimulating and welcoming environment in the Lab. Implement new concepts in the space.
- Managing data on visitors to the Lab
- Assisting with scheduling Idea Surgeries for students and providing coaches with relevant information
Essential requirements
- Educated to A level or equivalent
- Proven experience in an administration role in a busy office environment
- Experience in supporting events
- Experience of providing high quality customer service, being responsive and confident in dealing with customer needs
- Knowledge of AV set up for events
- Excellent numeracy, accuracy and attention to detail
- Efficient organisational and time management skills
- Very good interpersonal and communication skills, written and verbal, including a professional telephone manner
